Responsibilities

• Coordinate crews with the Operations Manager to boost efficiency and QA.
• Manage work orders, job scopes, close outs, and scheduling in Pavement Soft.
• Visit job sites daily; liaise between PM and Operations Manager.
• Communicate project expectations or changes with clients on site.
• Support crews with rentals, materials, and personnel needs.
• Coordinate subcontractors on site.
• Administer Limble CMMS; ensure accurate data entry and asset records.
• Develop asset records, maintenance schedules, and oversee work orders.
• Create system formats, dashboards, and reports to fit company needs.
• Monitor work order progress and ensure timely maintenance tasks.
• Identify delays or bottlenecks and escalate to management.
• Analyze equipment performance, maintenance trends, and cost efficiency.
• Provide insights to reduce repair costs and improve operational efficiency.
• Collaborate with management, supervisors, PM team, and field staff to standardize practices.

Job description

We are seeking a detail-oriented and proactive Operations Assistant to support our equipment maintenance, asset management, and field operations within a large and growing business in the asphalt and concrete paving industry. This position plays a key role in organizing, tracking, and improving the performance of our maintenance and Operations systems.

The ideal candidate will have strong data management skills, detail oriented, and the ability to collaborate with both management and technical teams to streamline all Operation's within the branch.

Essential Job Duties & Responsibilities:

• Operations Coordination:
  • Work directly with the Operation's Manager by assisting in coordinating crews and enhancing efficiency and quality assurance.
  • Work within Pavement Soft to manage work orders, job scopes, close outs, and scheduling,
  • Job site visits daily, communicate between Project Management team and Operations Manager.
  • Communicate with clients on site regarding project expectations or changes.
  • Support construction crews by resourcing needs for them (rentals, materials, personnel)
  • Coordinate subcontractors on site.
• Limble CMMS Administration:
  • Work within the Limble Computerized Maintenance Management System (CMMS) and Asset Management software to ensure accurate and consistent data entry.
  • Develop and maintain asset records, input maintenance schedules, and oversee work orders.
  • Coordinate with Limble developers and internal management to customize system formats, dashboards, and reports to meet company needs.
• Work Order Oversight:
  • Monitor and track work order progress for the shop and field.
  • Ensure timely completion of maintenance and repair tasks.
  • Identify and elevate delays, bottlenecks, or recurring issues to management.
• Reporting & Analysis:
  • Analyze reports on equipment performance, maintenance trends, and cost efficiency within the Shop and the Field.
  • Provide actionable insights to help management reduce repair and maintenance expenses, enhance Operational efficiency and expenses.
• Cross-Organization Collaboration:
  • Partner with the management team, shop regional supervisors, project management team, and field personnel to ensure consistent standards across branches.
  • Support training and communication efforts related to CMMS/Pavement Soft use and best practices.
