The Associate will provide day-to‑day support across operations, finance coordination, technology, grants administration, and general administrative functions. This position works closely with internal staff and external vendors to help ensure smooth operations and timely execution of funding‑related activities.

Requirements
Core Responsibilities
  • Provide support for office operations, finance, facilities coordination, and day‑to‑day administrative needs.
  • Serve as a point of coordination with the organization’s IT Managed Service Provider (MSP) and assist with basic technology support needs.
  • Support the improvement and documentation of internal operational processes and procedures.
  • Assist with administration of organization‑wide software tools and staff onboarding/training support.
  • Assist with logistics and coordination for organization‑wide meetings and events, including basic on‑site or virtual technology support.
  • Support contract filing, organization, and inventory management in accordance with internal approval processes.
  • Assist with managing organization‑wide subscriptions and vendor records.
  • Provide administrative support to Accounting and Human Resources functions, including onboarding and offboarding processes.
  • Assist with reimbursement processing and ensure compliance with internal policies.
  • Support coordination of vendor and funder payments, including basic Accounts Payable and Accounts Receivable tracking.
  • Assist with audit preparation by helping organize documentation and coordinate meetings as needed.
  • Support senior leadership with executive coordination activities such as meeting logistics, preparation of briefing materials, cross‑functional follow‑ups, and prioritization of time‑sensitive requests.
Grant Administration
  • Support the organization’s development and fundraising efforts through tracking and administrative coordination.
  • Assist with maintaining and updating fundraising systems and tools (e.g., CRM) for pipeline management and contact records.
  • Coordinate and support grant application and reporting processes, working with internal and external partners to help ensure accuracy and timeliness.
  • Assist in maintaining grants management systems, calendars, and reporting trackers in coordination with program and operations staff.
  • Help track deadlines and reporting requirements for grants and contracts.
  • Provide general administrative support for fundraising and development activities.
Qualifications
  • Interest in and alignment with FinRegLab’s mission, values, and public‑interest focus.
  • Bachelor’s degree or equivalent combination of education and relevant experience.
  • 2–4 years of relevant experience in nonprofit operations, grants administration, development support, or a related administrative role.
  • Comfort working with technology and learning new software tools; prior experience with CRMs or grants portals is a plus.
  • Strong written and verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple tasks, prioritize deadlines, and adapt to changing needs.
  • Ability to work independently while also collaborating as part of a team.
  • Basic familiarity with grant application processes, reporting requirements, or development operations preferred but not required.
Benefits

This position is based in Washington, D.C. In line with FinRegLab’s hybrid work guidelines, the Associate will work in the office a minimum of four days per week.

Compensation will be commensurate with experience and qualifications. FinRegLab offers a competitive benefits package.
