Clinical Administrative Coordinator

This position will receive and appropriately answer incoming telephone calls, greet members and visits, coordinate educational sessions, and work outbound call lists.

This position requires coordinators to conduct a high volume of outbound/telemarketing calls to eligible Medicare Advantage members to schedule Comprehensive Wellness Assessments (CWAs) for members with Nurse Practitioners. Daily work will consist of 75% outbound calls with 25% checking in and assisting members when they arrive at the clinic.

This position is full-time (40 hours/week) Monday - Friday. Employees are required to work an 8-hour shift schedules during our normal business hours of 7:45am - 4:45pm CST, from Monday - Thursday and 8:00am - 2:30pm CST on Fridays. It may be necessary, given the business need, to work occasional overtime.

We offer up to 1 week of paid training and then training as needed thereafter. The hours of training will be based on your schedule or will be discussed on your first day of employment. Training will be conducted onsite.

Primary Responsibilities
  • Telemarketing/Sales & Member Outreach: Perform high-volume outbound calling (approximately 60 per day) to eligible Medicare Advantage members, build rapport, address questions and objections, and secure appointments for Comprehensive Wellness Assessments (CWAs) with Nurse Practitioners
  • Serve as the primary point of contact at the front desk, providing professional and courteous assistance to members, visitors, and clinical staff
  • Coordinate appointment scheduling, manage patient interactions, and support daily administrative operations to ensure efficient and positive patient experience
  • Improve health care quality and increase likelihood of desired health outcomes
  • Welcome and greet members and guests in a professional service manner
  • Provide education and clarification on the H.I.P.A.A. and Consent to Treat documents
  • Receiving and placing outbound calls via a CXOne Agent queue and scheduling across all covered markets and Telehealth
  • Follow arrival for the scheduled appointment, transcribe notes into the electronic database regarding the Member's appointment, update demographics (i.e. telephone number, address, name PCP, etc.)
  • Validate that insurance subscriber and assignment of benefits is appropriately entered in the patient information section of the electronic health record
  • Ensure that all schedules are closed at the end of the day with no pending appointments
  • Supporting health information technology (HIT) in health care quality improvement
  • Participate in ongoing training to ensure the records are accurate and secure
  • Follow corporate instruction based on Federal and State guidance related to health information documentation and security
  • Meet or exceed quality metrics for member interaction and production metrics for outbound telephone call volumes
  • Reviews and updates Member demographics (i.e., address, telephone numbers, etc. in the electronic medical record(s)

Required Qualifications
  • High School Diploma/GED
  • 6+ months of experience with high volume of outbound calls while maintaining a positive and professional demeanor
  • Intermediate level of proficiency in Microsoft Word, Excel, Outlook (ability to open, create, edit, save, and send documents)
  • Ability to travel once per year for staff training in Metairie, LA

  • Must be 18 years of age OR older
Preferred Qualifications
  • 2+ years of experience in a medical office or healthcare setting
  • Experience in call center or telemarketing environment
  • Experience working in a metric-based environment
  • Bilingual fluency in English and Spanish

Pay and Benefits

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $18.00 to $32.00 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
