Job summary

Stock Executive Search is seeking an experienced Office Administrator to oversee daily operations, manage inventory, and coordinate with building management and vendor partners in a fast-paced New York setting.

You'll support HR/IT onboarding, maintain attendance records, and assist CEO-level initiatives with ad-hoc reporting. The role includes preparing newsletters, scheduling, CRM tasks, and ensuring smooth order flow while staying on-site in NYC.

Qualifications

  • Solid work experience a must.
  • Strong computer skills a must.
  • College degree in Business is a plus.

Responsibilities

  • Oversee day-to-day office operations, including supply inventory and vendor coordination, to sustain a clean, organized, and efficient workspace.
  • Serve as the primary point of contact for building management and office vendors, partnering with third-party IT and HR providers on onboarding and troubleshooting.
  • Maintain attendance records, PTO logs, and related documentation to reinforce operational discipline.
  • Partner directly with the President/CEO on administrative initiatives, special projects, and ad-hoc reporting, while championing policy compliance across departments.
  • Prepare internal communications, including company-wide newsletters and announcements, and support scheduling and meeting preparation.
  • Assist with sales administrative functions, including document preparation, CRM updates, and follow-up tracking, ensuring smooth order flow.
  • On-site requirement: Five days in New York City, never remote.
