Job summary

Axis Portable Air in Wake Forest, NC, is seeking a Branch Coordinator to lead daily dispatch, scheduling, and field support for our HVAC equipment network. Based at a local branch with travel for regional support and training, you will ensure timely quotes, efficient routes, and strong customer satisfaction.

You will own contracts, coordinate with sales and operations, and stay compliant with safety rules while maintaining a clean driving record.

Qualifications

• 1+ year of experience in operations, dispatch, or a leadership role in HVAC or service-based industries.
• Experience managing dispatch, scheduling, and resource allocation.
• Familiarity with HVAC or mechanical equipment is a plus.
• Strong communication and problem-solving skills.
• Detail-oriented with ability to multi-task.

Responsibilities

• Support Sales Activity — Create quotes and proposals; communicate ETAs; coordinate meetings between sales and operations.
• Manage Daily Dispatch — own scheduling and dispatching routes; optimize productivity.
• Safety and Compliance — enforce safety protocols and lead weekly safety training.
• Contract Management — work with AR/finance to ensure contract accuracy.
• Load, Deliver & Install Equipment — as needed, including long drives or overnight stays.

Pay Range: $ 24.00 - $32.50 per hour based upon experience, plus performance bonus opportunities

What You’ll Do:

• Support Sales Activity – Create quotes and proposals when needed. Communicate ETAs with salespeople to keep customer scheduling updated. Organize meetings between sales and operations for complex projects.
• Manage Daily Dispatch – Take ownership of scheduling and dispatching routes. Ensure customer requests are handled promptly and efficiently while maximizing team productivity and resource allocation.
• Safety and Compliance – Create and maintain a safe working environment by enforcing safety protocols and leading weekly safety training.
• Contract Management: Work within company systems to manage and ensure the accuracy of customer contracts. At times this will require working with company AR and finance teams.
• Load, Deliver & Install Equipment: to a variety of customer sites for emergencies or scheduled events, sometimes requiring long drives or overnight stays.

What It Takes:

• Experience – 1+ years of experience in operations, dispatch, or a leadership role in HVAC, mechanical, or service-based industries (or 1+ year experience as Field HVAC technician)
• Dispatch and Scheduling Skills – Proven ability to manage dispatch, scheduling, and resource allocation to meet customer demands and team productivity goals.
• Technical Knowledge – Familiarity with HVAC or mechanical equipment is a plus.
• Customer Service Skills – Strong communication, problem-solving, and customer relationship skills.
• Organizational Skills – Highly detail-oriented and expert multi-tasker.
• Tech Proficiency – Proficiency in Microsoft Office and operational software.
• Safety Focus – Understanding of safety regulations and compliance.
• Clean Driving Record – Valid driver’s license with a clean 5-year driving history.
• DOT Medical Card: The ability to obtain and maintain a DOT medical card.
• A Desire to Grow: Strong desire to deepen your expertise in contract management and branch management, HVAC service, and leadership responsibilities.

When & Where You’ll Work:

• Branch-Based – Primarily based at the branch, but travel may be required for regional support and training.
• Customer-Facing – Support the local sales staff as an additional leader in the market to ensure customer satisfaction and strengthen client relationships.
• The Field – At times, especially during peak season, you will be called upon to work alongside your team in the field to ensure customer demands are met and schedules are kept.
• Set Schedule with 24/7 Availability – You’ll have a regular schedule, but on-call shifts — including nights, weekends, and holidays — will be required. As a Branch Coordinator, you are the last line of defense in ensuring customer needs are always met — even if that means stepping in yourself to get the job done.
• Peak Season Demand – Expect increased workload during peak seasons and weather-related emergencies.
