Salary

Salary: $16.50 - $24.75 Hourly, $34,320 - $51,480 annually. This position is a Pay Band C2.

Why does the job exist?

The Administrator Secretary serves as the exclusive personal assistant to the Facility Administrator in a long-term care veterans' home. This position is responsible for managing the Administrator’s schedule, coordinating meetings and appointments, handling confidential communications, and providing high-level administrative support to ensure efficient facility operations.

How does it get done?
  • Manage and maintain the Administrator’s daily, weekly, and monthly calendar; schedule and coordinate meetings, appointments, interviews, and site visits.
  • Prepare agendas, take minutes, and follow up on action items.
  • Serve as the primary point of contact for the Administrator.
  • Screen phone calls, emails, and visitors and route communications appropriately.
  • Draft, type, and format correspondence, reports, and memos.
  • Maintain confidential files, records, and administrative documents.
  • Assist with compliance-related documentation and reporting.
  • Coordinate travel arrangements and logistics as needed.
  • Support the Administrator with special projects and facility initiatives.
  • Ensure timely completion of tasks assigned by the Administrator.
  • Maintain professional communication with staff, residents, families, and external agencies.
  • Uphold confidentiality and professionalism at all times.

Minimum Qualification
  • Eighth grade education.
Employment Requirements
  • Criminal background check in accordance with the New Mexico Caregivers Criminal Screening Act and is conditional pending results.
  • Valid New Mexico driver’s license.
  • Current Defensive Driving Course Certificate from the State of New Mexico or completion of the course as a condition of continued employment.
  • Successful completion of HIPAA training.
  • Sign and observe confidentiality agreement.
  • Must read, write, speak, and comprehend English.
  • Occasional travel for training and meetings; may require driving a state‑owned vehicle.
  • Work schedule may include weekends, holidays, overtime, and callback hours.
Working Conditions
  • Office setting within a long‑term care facility with exposure to VDT and computer and phone usage.
  • Requires walking, standing, bending, pushing, pulling, lifting, and stretching.
  • Must function under pressure and stressful situations.
  • Exposure to contagious viruses, diseases, bodily fluids, and potential physical or verbal abuse.
  • Occasional travel for training and meetings; may require state‑owned vehicle usage.
  • Extended hours to meet deadlines; on‑call, nights, weekends, holidays, overtime, and callback hours.
Bargaining Unit Position

This position is covered by a collective bargaining agreement and all terms/conditions of that agreement apply and must be adhered to.
