Job summary

Holland & Hart LLP is seeking an Office Services Clerk in Denver to provide general support to the Office Services Department. You will handle phones, reception, inventory, mail, and hosting for meetings and client conferences, while assisting with copy/printing and light facilities tasks.

The role requires at least a high school diploma and 2+ years in hospitality or a professional office setting (preferably in a law firm). Strong MS Office skills and a professional demeanor are essential.

Qualifications

  • High school diploma or GED/equivalent required.
  • Two (2) + years’ experience in a hospitality or professional office environment required; law firm experience preferred.
  • Proficiency with telephone systems and reception procedures.
  • Strong organizational skills with demonstrated ability to manage inventory, ordering, and supply stocking.
  • Public relations skills required representing the firm in a pleasant and highly professional manner to clients and personnel both directly and by telephone.
  • Time management: organization and judgment to manage workflow; accurate handling of numerous details.
  • Ability to work under pressure; meet deadlines; maintain a pleasant phone voice; direct the work of others; work and think independently; resolve conflicts and prioritize.
  • Demonstrated ability to build positive working relationships, collaborate effectively with colleagues, and maintain a high level of professionalism in all interactions.
  • Strong judgment, discretion, and ability to handle confidential information appropriately.
  • Flexibility in working hours to complete priority projects and provide coverage across all Office Services functions.
  • Requires excellent computer skills, including proficiency in Microsoft Suite, especially Word, Excel, and Outlook.

Responsibilities

  • Handles phones, email traffic and reception duties in a highly professional manner as assigned.
  • Maintains inventory required in each floor’s local supply room and reports needs to purchasing personnel.
  • Assists with kitchen duties including coffee and replenishing supplies.
  • Provides host services for functions including luncheons and client conferences.
  • Cleans vacant office spaces in preparation for new occupants.
  • Operates copy, binding, and postal equipment as needed.
  • Sorts and distributes incoming mail and posts outgoing mail.
  • Picks up and delivers interoffice mail and faxes as needed while following loss-prevention guidelines.
  • Assists attorneys and staff with Office Services operations.
  • Completes pickups, deliveries and filings in downtown and Denver metro area.
  • Assists maintenance with furniture moves and light repairs.
  • Completes required paperwork and assists Fax/Printer Technician.

Job description

The Office Services Clerk will provide general assistance and backup coverage to all areas of the Office Services Department including, but not limited to: purchasing, reception, hosting, printers and fax, messenger and mail services and the copy center. This role will perform a variety of tasks that keep the office running smoothly behind the scenes. This dynamic role requires adaptability, exceptional interpersonal skills, and the ability to maintain professionalism while handling a variety of responsibilities throughout the firm.

  • Handles phones, email traffic and reception duties in a highly professional manner as assigned.
  • Maintains inventory required in each floor’s local supply room. Reports inventory needed to purchasing personnel and assists purchasing as needed.
  • Helps maintain individual kitchen areas, including making coffee, replenishing supplies, and performing light cleaning duties in kitchens, offices, and common areas as assigned.
  • Provides host services such as food and beverage setup and cleanup for a variety of functions, including daily luncheons, regular meetings, and client conferences as assigned.
  • Cleans vacant office spaces in preparation for new occupants as assigned.
  • Operates all firm copy and binding equipment as needed.
  • Operates all firm postal equipment as needed.
  • Sorts and distributes incoming mail and posts outgoing mail as needed.
  • Picks up and delivers interoffice distribution, mail and faxes as needed and in compliance with the Firm’s loss prevention guidelines.
  • Assists attorneys and staff regarding the operation of all facets of the Office Services Department.
  • Completes requested pickups, deliveries and filings in downtown and Denver metro area as needed.
  • Assists maintenance personnel in moving furniture, changing light bulbs and other minor repair duties.
  • Properly completes all paperwork required in assigned area of responsibility.
  • Assists Fax/Printer Technician with fax operations and toner cartridge replacement as needed.
  • Perform additional duties and tasks assigned, demonstrating flexibility and a commitment to supporting the firm’s overall objectives.

Physical Requirements:

While performing the duties of this position, the employee must have the ability to sit, stand and/or walk for extended periods of time; manipulate (lift, carry, move) weights of at least fifty (50) pounds; have repetitive wrist/hand/finger movement to work on a computer and/or related office equipment; speak clearly and concisely so listeners can understand; and regularly understand the speech of another person.

Compensation:

Holland & Hart offers of employment take into consideration a candidate’s education, training, and experience, as well as the position's work location, external market and internal value, including seniority and merit systems, and internal pay alignment when determining the salary level for potential new employees. Salary Range $19.29 - $29.66. A discretionary bonus may be available based upon performance.
