Moneta Group Investment Advisors LLC, Clayton, MO, seeks an Office Services Assistant to support mail, inventory, and general mail-room duties in a full-time in-office role.

You will manage mail and supplies, maintain equipment, support remote locations, and assist as backup receptionist, contributing to operations at one of the Top Workplaces in St. Louis.

Qualifications

• High school diploma or higher; some college preferred.
• 2+ years of administrative experience in a fast-paced professional setting.
• Working knowledge of mail processes, postage machines, copiers, and office equipment.
• Proficient in Microsoft Office applications.
• Willing to work in-office 5 days per week.
• Ability to stand, bend, reach overhead, and lift up to 20 pounds.

Responsibilities

• Receives and distributes incoming mail and packages.
• Maintains inventory of office supplies and anticipates needs.
• Maintains and troubleshoots mailroom equipment and coordinates repairs.
• Liaises with vendors and manages outbound communications.
• Serves as backup receptionist and main contact for designated remote sites.
• Assists with various projects and administrative tasks as needed.

Salary Range: $55,000.00 To $60,000.00 Annually

Job Description

The Office Services Assistant provides excellent service and will assist teams with tasks like office supply inventory and general mail room assistance. You will be responsible for maintaining all mail room equipment and keeping it in proper working order for employee use, maintaining accurate tracking and reporting for areas of responsibility, and will be the primary backup for the receptionist position. Duties and Responsibilities

• Receives and distributes incoming mail and packages.
• Maintains inventory of office supplies and anticipates supply needs; ensures prompt ordering and receipt of supplies.
• Maintains mailroom equipment by completing preventive maintenance, troubleshooting failures, calling for repairs, monitoring equipment operation and purchasing meter funds.
• Maintains communication and relationships with vendors.
• Serves as primary Office Services contact for designated remote locations
• Backup to receive, log, and scan inbound checks for client-facing teams
• Acts as backup receptionist
• Approves invoices from various vendors
• Manages shred bins and schedules availability
• Assists with various projects as needed

Qualifications

• High school diploma, some college preferred
• Two or more years of administrative experience in a fast-paced, professional services environment
• Working knowledge of mail processes, postage machines, copiers, and other office equipment
• Proficient in Microsoft Office applications
• Must be willing to work in-office 5 days per week
• Must be able to stand for extended periods, bend and stoop frequently, reach to overhead cabinets and mail slots, lift and carry packages up to 20 pounds, and operate mailroom equipment like sorting machines, which may require hand dexterity and reaching movements.
