Job summary

Calisota Parts, LLC is seeking an organized Office Manager in Michigan to bridge financial oversight, administrative leadership, and manufacturing supply-chain coordination. This role serves as the heartbeat of our operations and helps drive results across departments.

You will manage day-to-day office operations, handle basic accounting tasks, process POs, and coordinate ERP/timekeeping systems while ensuring safety and compliance.

Responsibilities

  • Manage day-to-day office operations, facility maintenance schedules, and vendor services.
  • Oversee office supplies, PPE, breakroom provisions, and some inventory tracking.
  • Coordinate communication between corporate office, plant floor, shipping/receiving, and external vendors/clients.
  • Manage office and plant software systems, including ERP and timekeeping tools.
  • Evaluate, negotiate, and oversee contracts with external service providers.

Job description

We are looking for a detail-oriented Office Manager to serve as the heartbeat of our operations at Calisota Parts, LLC. In this multifaceted role, you will bridge the gap between financial oversight, administrative leadership, and manufacturing supply‑chain coordination. Key Responsibilities
Office Operations
  • Managing day-to-day office operations, facility maintenance schedules, and coordinating vendor services
  • Overseeing office supplies, safety gear (PPE), breakroom provisions, and sometimes tracking light shop-floor supplies or administrative inventory
  • Facilitating smooth communication between the corporate office, plant floor supervisors, shipping/receiving, and external vendors or clients
  • Managing office and plant-specific software systems, including Enterprise Resource Planning (ERP) modules, timekeeping software
  • Evaluating, negotiating, and overseeing contracts with external service providers (e.g., janitorial, security, office equipment maintenance, uniform rentals)
Financial & Accounting Management
  • Handling basic bookkeeping, expense reporting, invoice reconciliation, processing purchase orders (POs), and assisting with department budget tracking.
  • Prepare general ledger entries, manage accounts payable and receivable (A/R & A/P reports to CFO), reconcile accounts, and craft preliminary financial statements within 10 days of month-end.
Manufacturing & Production Support
  • Maintaining compliance with OSHA standards, facility safety protocols, employee training records, and assisting with safety committee documentation.
  • Compiling daily, weekly, and monthly administrative reports, maintaining accurate digital and physical document archiving systems
Process Improvement & Compliance
  • Identifying administrative bottlenecks, streamlining office workflows, and implementing continuous improvement (e.g., 5S principles) in administrative areas.
Special Projects
  • Serving as the primary on-site point of contact for time-and-attendance tracking
