Overview

The Office Coordinator is responsible for supporting the day-to-day workplace operations of the corporate headquarters, ensuring employees and visitors experience a well-organized, efficient, and professional work environment. This role serves as a key operational resource for mail and package distribution, conference room support, print and copy services, office supply management, and workplace amenity upkeep. The Office Coordinator proactively monitors office spaces, coordinates vendor and facility-related support activities, and assists with occasional local errands and deliveries. All job duties and responsibilities must be carried out in compliance with applicable legal and regulatory requirements.

Responsibilities
  • Receive, sort, distribute, and process incoming and outgoing mail, packages, overnight deliveries, and interoffice correspondence throughout the headquarters location.
  • Perform scheduled mail and package deliveries throughout the office and coordinate outbound shipments utilizing approved shipping carriers and systems.
  • Provide conference room and meeting support by preparing meeting spaces, replenishing supplies, arranging catering and hospitality services, and restoring conference rooms and common areas to a clean, professional condition following meetings and events.
  • Monitor, stock, and maintain inventory levels for copy rooms, supply rooms, coffee stations, kitchens, break areas, and other shared workplace amenities to ensure a clean, organized, and fully supplied environment.
  • Order office supplies, workplace consumables, and operational inventory in accordance with established budgets and procurement procedures. Maintain inventory records and recommend replenishment levels.
  • Conduct routine inspections of office and common areas to identify maintenance, housekeeping, equipment, and supply needs; coordinate resolution or escalate issues to Facilities, building management, and external service providers as appropriate.
  • Assist with employee and visitor events by supporting room arrangements, catering setup, signage, and related workplace logistics.
  • Serve as an internal courier by handling occasional local deliveries and errands, including post office runs, supply pickups, and transporting materials between company locations as needed.
  • Perform other administrative, operational, and facilities-related duties in support of the Facilities & Corporate Services function as assigned.
  • Provide on-site support and operational coverage at the Branchville NJ location as needed to maintain business continuity during employee absences, including vacations, sick leave, and other scheduled or unscheduled time off.
Qualifications
Knowledge and Requirements
  • Strong customer service orientation with the ability to interact professionally with employees, visitors, executives, and vendors.
  • Excellent organizational, interpersonal, and communication skills.
  • Ability to manage multiple priorities and respond effectively in a fast-paced environment.
  • Demonstrated attention to detail and commitment to maintaining high workplace standards.
  • Working knowledge of Microsoft Office applications including Outlook, Word, Excel, and Teams.
  • Ability to operate office equipment including copiers, printers, postage equipment, and shipping systems.
Education and Experience
  • High school diploma or equivalent.
  • 2+ years of experience in office administration, facilities support, workplace services, hospitality, mailroom operations, or a related support function.
  • Valid driver's license and ability to operate a motor vehicle for local business errands and deliveries.
  • Experience with supporting a corporate headquarters or professional office environment preferred.
  • Experience with mail processing, shipping systems, inventory management, or fonference servicing preferred.

The actual base salary is based on geographic location, and the range is representative of salaries for this role throughout Selective's footprint. Additional considerations include relevant education, qualifications, experience, skills, performance, and business needs.

Pay Range

USD $45,000.00 - USD $59,000.00 /Yr.
