Responsibilities

  • Answer the company’s primary phone line and manage the phone system.
  • Greet clients and guests and escort them to conference rooms; ensure rooms are prepared.
  • Open and close the office daily following a checklist.
  • Manage conference room scheduling.
  • Keep conference rooms, work rooms, and break rooms organized and clean.
  • Coordinate catering and set-up for in‑office lunches or events.
  • Manage office mail receipt, sorting, and sending.
  • Schedule and confirm meetings for advisors.
  • Order office supplies and refreshments within budget.
  • Schedule repairs and maintenance for the office space.
  • Serve as main contact for building management and vendors.
  • Assist with client and employee event planning.
  • Log client gifts in Compliance 11 and send gifts.
  • Prepare PowerPoint presentations for monthly team meetings.
  • Order printed materials (business cards, letterhead, etc.).
  • Provide additional administrative and operational support as needed.

True North Advisors is seeking a Front Office Coordinator to join our Business Operations team. This role serves as the first point of contact for visitors and callers, while providing administrative and operational support to the broader team to help deliver an exceptional client experience. This role also provides assistance with client and team event planning and other marketing-related tasks.

This is a full-time position based in our Dallas office.

Responsibilities

Education, Skills, & Experience
  • Bachelor’s degree in business, finance, or related field required
  • Strong Outlook, PowerPoint, Word and Excel skills
