Non-perm Office Assistant 3 – Health Services

Location: Connell, WA 99326

Schedule: Monday‑Friday 0700‑1530

The Department of Corrections is seeking a highly motivated and qualified individual for the role of Non‑perm Office Assistant 3 in health services for the Coyote Ridge Corrections Center (CRCC), located outside the Tri‑Cities in Connell WA.

Under the supervision of the Health Records Technician 2 (HRT2), and with the guidance of the Health Records Technician 1 (HRT1), this position helps to ensure patient health records are managed in a way that supports the Health Services mission of delivering high‑quality, efficient, and effective healthcare services, and employee engagement to improve lives in a safe and secure environment during the patient’s incarceration and after release, which increases the patient’s chances of succeeding upon reentry, directly contributing to the Department’s mission to improve public safety by positively changing lives.

  • Extended Observations unit up to 96 hr. stay (4 beds)
  • Long term palliative care unit
  • See up to 2500 patients with different chronic disease (diabetes, hypertension, cancer, autoimmune disorders and much more)

Correctional Health is a rewarding career path at DOC, in which health care professionals treat a wide array of cases for patients residing in a state correctional facility. Health Services is responsible for basic primary care for incarcerated individuals. All disciplines within all of the 12 correctional facilities work closely together to reach a common goal, providing the best, most efficient, and cost‑effective health care possible. Emphasis is placed on early identification of health concerns, care for acute and chronic health problems, and preventive care.

Duties
  • Ensure patient health records located in the facility comply with departmental policies and procedures and state and federal statutes.
  • Review records for completeness and accuracy.
  • Ensure all loose filing is filed in patient health records in a timely manner.
  • Ensure appropriate blank paperwork is in the health records.
  • Create entries in OMNI noting the movement of health records.
  • Ensure loose filing is completed timely, which includes checking for provider signatures/initials and name stamp, placing documents appropriately in the health record, and sending filing to other facilities when required.
  • Provide assistance and directions to facility staff regarding health records.
  • Prepare health records for intakes, transfers, and releases.
  • Ensure all loose filing is filed for outgoing/transferring health records.
  • Thin health records according to the HRP.
  • Verify patient name and DOC # on all documents.
  • Breakdown health records when patients leave departmental custody. Verify patient name and DOC number on all pages.
  • Participate in Health Services quality improvement processes and activities.
  • Participate in staff accountability checks, Place Safety Musters.
  • Support all Health Services initiatives.
  • Other duties as assigned.
Qualifications
  • Ability to type a minimum of 40 words per minute.
  • Intermediate word processing and spreadsheet skills.
  • Two (2) years clerical experience.

Insurance Benefits

Retirement And Deferred Compensation

State Employees are members of the Washington Public Employees' Retirement System (PERS). New employees have the option of two employer contributed retirement programs. For additional information, check out the Department of Retirement Systems' web site.

Employees also have the ability to participate in the Deferred Compensation Program (DCP). This is a supplemental retirement savings program (similar to an IRA) that allows you control over the amount of pre‑tax salary dollars you defer as well as the flexibility to choose between multiple investment options.

Social Security

All state employees are covered by the federal Social Security and Medicare systems. The state and the employee pay an equal amount into the system.

Public Service Loan Forgiveness

Holidays

Full‑time and part‑time employees are entitled to paid holidays and one paid personal holiday per calendar year.

Sick Leave

Full‑time employees earn eight hours of sick leave per month. Overtime eligible employees who are in pay status for less than 80 hours per month, earn a monthly proportionate to the number of hours in pay status, in the month to that required for full‑time employment. Overtime exempt employees who are in pay status for less than 80 hours per month do not earn a monthly accrual of sick leave. Sick leave accruals for part‑time employees will be proportionate to the number of hours in pay status, in the month to that required for full‑time employment. Pay status includes hours worked, time on paid leave and paid holiday.

Vacation (Annual Leave)

Full‑time employees accrue vacation leave at the rates specified in WAC 357‑31‑165(1) or the applicable collective bargaining agreement (CBA). Full‑time employees who are in pay status for less than 80 nonovertime hours in a month do not earn a monthly accrual of vacation leave.

Part‑time employees accrue vacation leave hours in accordance with WAC 357‑31‑165(1) or the applicable collective bargaining agreement (CBA) on a pro rata basis. Vacation leave accrual will be proportionate to the number of hours in pay status, in the month to that required for full‑time employment.

Pay status includes hours worked, time on paid leave and paid holiday.

As provided in WAC 357‑58‑175, an employer may authorize a lump‑sum accrual of vacation leave or accelerate the vacation leave accrual rate to support the recruitment and/or retention of a candidate or employee for a Washington Management Service position. Vacation leave accrual rates may only be accelerated using the rates established WAC 357‑31‑165.

Note: Most agencies follow the civil service rules covering leave and holidays for exempt employees even though there is no requirement for them to do so. However, agencies are required to adhere to the applicable RCWs pertaining holidays and leave.

Military Leave

Washington State supports members of the armed forces with 21 days paid military leave per year.

Bereavement Leave

Most employees whose family member or household member dies, or for loss of pregnancy, are entitled to five (5) days of paid bereavement leave. In addition, the employer may approve other available leave types for the purpose of bereavement leave.
