The Office Administrator is responsible for maintaining efficient office operations, providing administrative support to staff and management and ensuring a productive work environment by following office protocol for guests, including vendors and customers.
This role involves managing office continuity by ordering, tracking and replenishing supplies to avoid interruptions in standard office and business procedures. This role will work closely with Procurement Department to assist in setting up purchase orders, managing tracking cycles and sending out order confirmations via email.
The Office Administrator follows security protocol by maintaining the daily electronic visitor log.
Confidentiality is of the utmost importance and must be maintained.

KEY RESPONSIBILITIES AND DUTIES
- Greeting facility visitors and follow electronic visitor log protocol
- Direct guests/visitors to reception area, office or meeting room
- Maintain the Team Member Café by keeping track of inventory, ordering and replenishing goods to avoid interruptions in service
- Work with Procurement Department as needed to place orders including office supplies and materials as needed. Set up purchase orders, manage tracking cycles and send out email confirmations
- Maintain inventory records
- Work with facility service providers on access to ensure scheduled maintenance/repairs are handled as scheduled
- USPS mail services: Retrieve mail from mailbox at rear of facility daily and deliver to department managers or designated people
- Mail/delivery services: Mail certified mail to USPS local
- Fed Ex/UPS: Contact Sagent Shipping Department (on site) to send out priority overnight or 2 nd day packages as requested; keep all receipts and/or tracking information as backup
- Perform any data entry tasks as requested
- Support company events by assisting HR in organizing and implementing facility gatherings and team building events
- Assist in meeting room setups as needed, including ordering breakfasts or lunches; keeping Boardroom organized and stocked

REQUIRED QUALIFICATIONS: Experience, Education, Certifications, Skills
- 1-3 years of office support experience, preferably a small office environment
- Excellent verbal and written communication abilities
- Ability to multi-task, prioritize and work independently if needed
- Professional, approachable and customer focused demeanor
- Interpersonal skills to make a positive impression on vendors, customers and other guests; interact professionally
- Work well with all Team Members at Sagent
