Qualifications

  • Bachelor’s degree required; marketing, communications, business administration, or related field preferred.
  • 1–3 years of professional experience in marketing, recruiting, administrative operations, or related business functions.
  • Prior experience in a law firm, professional services, or corporate setting preferred.

Responsibilities

  • Assist in executing marketing strategies, campaigns, and business development initiatives.
  • Maintain and update WordPress website content and attorney bios.
  • Coordinate onboarding, headshots, bios, and marketing materials.
  • Support firm social media presence with content creation and scheduling.
  • Assist in developing marketing materials using Canva or Adobe InDesign.
  • Coordinate client events, webinars, and other business development activities; handle logistics and follow-up.
  • Assist with candidate interviewing coordination, ATS management, and recruiting events.
  • Provide administrative and project support across offices; travel between Wilmington and Philadelphia as needed.

Maron Marvel has an immediate opening for an Office Administrative Coordinator. This is an excellent opportunity for an early-career professional interested in building a long-term career in law firm administration, marketing, business development, and recruiting operations.

The Office Administrative Coordinator will play an integral role in supporting key firm initiatives, including Marketing, Business Development, Recruiting, Attorney Support, and Firm Operations. This position provides administrative and project support to the Wilmington, Delaware and Philadelphia, Pennsylvania offices, requiring collaboration across locations to ensure consistent execution of firm initiatives and operational priorities.

Key Responsibilities
Marketing & Business Development
  • Assist in the execution of marketing strategies, campaigns, and business development initiatives.
  • Maintain and update the firm’s WordPress website, including attorney biographies, firm news, and practice area descriptions.
  • Support attorney onboarding processes, including coordinating headshot scheduling, website biographies, and related marketing materials.
  • Assist with the firm’s social media presence by creating, scheduling, and maintaining content designed to increase engagement and visibility.
  • Assist with the development and design of marketing materials using tools such as Adobe InDesign and Canva.
  • Coordinate client events, webinars, sponsorships, and other business development activities, including logistics, registrations, communications, and follow-up.
  • Assist attorneys with pitch materials, RFP responses, client presentations, and other business development materials.
  • Support internal communications and firm-wide marketing initiatives as needed.
Recruiting & Professional Development Support
  • Coordinate candidate interview scheduling and communication throughout the recruiting process.
  • Monitor and maintain the firm’s Applicant Tracking System (Acquire), ensuring candidate information is updated and applications progress efficiently through the hiring process.
  • Identify and pre-screen candidates for interviews in coordination with hiring managers and firm leadership.
  • Manage job requisition processes and coordinate job postings across appropriate platforms.
  • Assist with planning and execution of recruiting events, including on-campus recruiting programs, law school events, and Summer Associate initiatives.
  • Serve as a liaison with law schools regarding recruiting schedules, candidate outreach, and resume collection.
  • Support attorney professional development initiatives and related administrative projects.
General Administrative & Operational Support
  • Provide administrative and project support to attorneys, firm leadership, and administrative departments across both offices.
  • Travel periodically between the Wilmington and Philadelphia offices, as needed, to support meetings, recruiting events, training, and special projects.
  • Coordinate meetings, calendars, scheduling, travel arrangements, and conference logistics for attorneys and firm leadership.
  • Maintain records, databases, and administrative materials with accuracy, discretion, and confidentiality.
  • draft, proofread, and distribute professional correspondence, reports, presentations, and firm communications.
  • Support special projects, office initiatives, and operational priorities as assigned.
Qualifications
  • Bachelor’s degree required; concentration in Marketing, Communications, Business Administration, Human Resources, Legal Studies, or a related discipline strongly preferred.
  • 1–3 years of professional experience supporting marketing, recruiting, administrative operations, or related business functions.
  • Prior experience within a law firm, professional services environment, or corporate setting strongly preferred.
  • Ability and willingness to travel between the firm’s Wilmington and Philadelphia offices as business needs require.
Skills
  • Strong organizational and project management skills with the ability to prioritize competing deadlines and manage multiple initiatives.
  • Excellent written and verbal communication skills, including professional business correspondence and client-facing communications.
  • Ability to handle confidential and sensitive information with professionalism and discretion.
  • Proficiency in Microsoft Office Suite, including Outlook calendaring and scheduling functions.
  • Experience with website content management systems (WordPress), social media platforms, and design tools such as Canva or Adobe InDesign preferred.
  • Ability to interact effectively with attorneys, firm leadership, candidates, law school representatives, vendors, and administrative professionals.
  • Strong attention to detail with a proactive, solutions-oriented approach.
  • Ability to work independently while maintaining a collaborative, service-oriented mindset.
  • Demonstrated flexibility and adaptability in supporting multiple offices and balancing changing priorities in a fast-paced legal environment.
