Job summary

CEVA Logistics is seeking a Documentation Specialist to support inbound or outbound shipments. You will prepare, track, and maintain essential documentation for complex accounts, ensuring compliance with regulatory requirements and customer commitments.

You will review documents, interface with CEVA systems for timely updates, and coordinate with internal teams to ensure accurate invoicing and delivery. Prior experience with government releases and shipping documentation is a plus.

Qualifications

  • High School Diploma or GED required; Associates degree preferred.
  • Experience relevant to processing shipment documentation and regulatory requirements.
  • Strong proficiency in Microsoft Office and data entry.

Responsibilities

  • Oversee accounts - receive, review, and process documentation; handle complex accounts.
  • Process documents through the system and coordinate with CEVA systems for updates and communications.
  • Assist in workstream development of new accounts and maintain client profiles and documentation.
  • Obtain government agency releases and arrange delivery, receipt, and invoicing.
  • Process Customs releases, OGA releases, cargo delivery and invoicing per standards.
  • Identify and complete tasks requiring special handling or expediting for compliant processing.
  • Review all entries, invoices, and client packages before distribution.
  • Investigate issues and advise supervisor of problems or irregularities.

Pay Range: $24.00/hr - $30.00/hr

Shift: Monday - Friday 8:00am to 5:00pm

YOUR ROLE

Are you known for your attention to detail and excellent customer service? Are you passionate aboutidentifyingand processing efficient shipmentlogistics? If so, we have an opportunity that would allow you to provide a vital service for processing Inbound or Outbound shipments, with an emphasis on preparing,trackingandmaintainingimportant documentation for complex accounts.

WHAT ARE YOU GOING TO DO?

Oversee accounts - receive, review, and process documentation, work through an assigned base of accounts, process documents and information through the established systems, ensuring preparation according to regulatory requirements and customer commitments; accounts are usually complex or by direction of the team leader or supervisor.

Process documents through the system; interface with other CEVA systems to provide updates and communications for internal and external customers to producetimelyand compliant transactions.

Assistin workstream development of new accounts, including reviewing all documentation and forms,maintainingcommunications with clients, reviewing their process on a regular basis, andmaintainingclient profiles and databases.

Obtain government agency releases asappropriate, arranging delivery, receipt, and invoicing the account; accounts are technical or complex in nature.

Process Customs release, OGA release, delivery of cargo, andinvoicing forservices defined within customer and company standards.

Identifyand complete transaction tasks that require special handling orexpeditingto produce compliant processing.

Review all entries,invoicesand client packages prior to distribution.

Investigatereasonandadvisesupervisor of any problems or irregularities.

WHAT ARE WE LOOKING FOR?

Education and Experience: High School Diploma or GED,Associates Degreepreferred; Minimum four to six years related experience.

Credentials: Professional certification may berequiredin some areas.

Skills: Intermediateproficiencyin Microsoft Office, internet, web-based and job specific software applications; Accurate typing skills and/or data entry skills; Ability to add, subtract, multiply and divide using units of U.S. currency, weights and volume and distance measurements.

Characteristics: Responds promptly and professionally to customer needs;Idenitfiesand resolves problemsin a timely manner; Followspolicies and proceduresand ability to understand laws,rulesand regulations in areas of assignment; Ability to gather and analyze documents skillfully.
