Job description

Job Summary

The primary duties of the night auditor are to check front office, restaurant, and bar accounting records for accuracy, post and balance charges and settlements in a timely manner, and compile information for financial records. They assist guests with check-in and check-out processes, provide hotel services information, and accommodate guests during their stay in an attentive, courteous, and friendly manner.

Essential Job Functions

This description summarizes primary responsibilities and qualifications. It does not include all duties or qualifications that may be required now or in the future. The hotel operates 24/7, so shifts may vary in days, start times, and hours worked.

  1. Prepare daily restaurant revenue reports by auditing Micros tapes/journals to break down revenue, covers, server tips paid out, and settlements by type and cashier.
  2. Run audit reports/journals.
  3. Make corrections and adjustments; handle computer issues during shifts.
  4. Input revenue, expenses, and allowances into the computer to generate daily reports such as Guest Ledger Summary and Daily Restaurant Summary.
  5. Balance all revenue and settlement accounts nightly, maintain files, and reset systems for next day operations.
  6. Perform other duties as assigned by the Controller and Assistant Controller based on department needs.
  7. Ensure all reports and backup vouchers are complete and properly filed.
  8. Distribute copies of documents/backups and reports to relevant departments (A/R, A/P, Payroll).
  9. Review and correct discrepancies in the Front Desk System.
  10. Coordinate with front desk and restaurant/bar closing to ensure smooth operations and system resets.
  11. Greet customers promptly with a friendly, sincere welcome; use positive communication; listen and respond appropriately; provide accurate information about outlets and local attractions.
  12. Complete registration by inputting and retrieving information, confirming guest details, selecting rooms, coding keys, and handling guest needs. Requires standing and moving throughout front office areas.
  13. Verify credit cards for authorization, handle cash and other payments, perform arithmetic functions, and post charges to guest accounts.
  14. Answer phones promptly and professionally, take messages, and handle mail, packages, and facsimiles as requested.
  15. Adhere to all company policies, safety, and security procedures, including emergency protocols and the use of protective equipment.
  16. Report unsafe conditions, accidents, injuries, and property damage.
  17. Maintain a neat and professional appearance as per the team member handbook.
  18. Assist other front desk personnel as needed and perform any additional duties as directed by supervisors.
Knowledge, Skills & Abilities

The hotel may consider equivalent combinations of education and experience that provide the necessary knowledge, skills, and abilities.

  • Knowledge of accounting operations, including accounts receivable and payable.
  • Basic math skills and ability to operate a 10-key calculator by touch.
  • Effective communication skills to handle guest and employee concerns positively.
  • Ability to accurately input information using a moderately complex computer system.
  • Proficiency in English reading, writing, speaking, and telephone etiquette.
  • Hearing and visual acuity to observe emergency signs and situations.
Physical Demands
  • Ability to stand and move throughout the front office area continuously.
  • Lifting up to 25 pounds.
  • Occasional twisting, bending, reaching, standing, and walking.
  • Frequent talking, hearing, seeing, and smiling.
