Responsibilities

  • Monitor and coordinate vehicle and equipment maintenance for side-by-sides, snowcats, ATVs, and trucks.
  • Develop vendor networks, scope work, obtain proposals, negotiate terms, and verify completion and invoices.
  • Maintain documentation of maintenance, safety, and property records; use systems like Airtable or similar.

Job description

Reports to the Director of Properties while partnering closely with the Aspen Property Manager, family office staff, vendors, cleaners, contractors, mechanics, and trail crews to support mountain and in-town property operations.

Position Overview

A family is seeking a hands‑on Aspen Mountain Facilities Manager to support operations, maintenance, readiness, and field coordination across private mountain properties, while also assisting the Aspen Property Manager with facilities needs at the family’s Aspen town properties.

This role is intentionally broad and practical. The right candidate will be mechanically capable, physically capable, experienced in changing mountain conditions, and willing to move between equipment operation, snow access, property readiness, light repairs, vendor coordination, outdoor maintenance, and facilities support. Success requires someone flexible, versatile, service‑oriented, and open to doing work outside their normal scope when needed.

The portfolio may include remote cabins, winter‑access properties, side‑by‑sides, snowmobiles, snowcats, trucks, trails, outdoor amenities, high‑end town properties, and seasonal maintenance needs. The final scope, schedule, property count, and compensation structure are still being refined.

Key Responsibilities
Mountain Property Operations & Readiness
  • Oversee the daily operation and maintenance of the family’s private properties. Conduct routine inspections and ensure buildings, utilities, exterior areas, and supporting infrastructure remain safe and operational.
  • Maintain safe and reliable access to remote mountain properties throughout the year. Monitor roads and trails, coordinate snow and ice removal, respond to weather‑related conditions, and manage seasonal opening and closing activities.
  • Complete property‑readiness walkthroughs before family and guest arrivals. Confirm that access, utilities, security, cleanliness, household supplies, linens, firewood, trash removal, and any requested setup have been fully addressed. After visits, coordinate cleaning, restocking, repairs, damage checks, and property reset so each location remains ready for future use.
  • Step in where needed across field work, facilities, guest readiness, and general property support; the role is not limited to a narrow maintenance checklist.
Facilities, Systems & Seasonal Maintenance
  • Support the Aspen Property Manager with town‑property walkthroughs, punch‑list items, minor repairs, deliveries, furniture moves, exterior cleanup, outdoor amenity care, seasonal work, and urgent facilities issues.
  • Perform practical maintenance where appropriate, including basic carpentry, door and hardware adjustments, furniture assembly, hanging hooks or shelves, basic plumbing troubleshooting, bulb and fixture replacement, appliance troubleshooting, deck or fence repairs, tool organization, and general punch‑list work.
  • Monitor property systems such as hauled water or wells, cisterns, pumps, filters, pressure tanks, propane, solar, batteries, generators, septic systems, freeze protection, hot tubs, irrigation, and backup power; coordinate specialists when needed and maintain simple operating notes.
  • Maintain outdoor amenities and exterior areas, including hot tub care, water testing, power washing, outdoor furniture setup and storage, firewood organization, trash and debris removal, light landscaping, trail touch‑ups, and annual maintenance items.
  • Identify problems early and either resolve them directly or elevate them promptly with clear documentation and practical recommendations.
Equipment, Vehicles & Access
  • Safely operate and maintain side‑by‑sides, snowcats, snowmobiles, ATVs, trucks, trailers, chainsaws, small equipment, tools, and other property vehicles as required.
  • Track fuel, batteries, service needs, maintenance intervals, safety concerns, seasonal preparation, and storage conditions so vehicles and equipment remain staged and ready for use.
  • Develop and maintain a reliable network of qualified vendors, contractors, cleaners, trades, mechanics, and mountain‑service providers.
  • Organize and schedule vendor work, establish clear scopes, obtain and compare proposals when appropriate, negotiate pricing and terms, coordinate property access, oversee execution, and verify completion, quality, and invoice accuracy.
  • Make cost‑effective maintenance and repair decisions that balance safety, quality, urgency, long‑term asset preservation, and budget. Complete work internally when safe and reasonable, and engage qualified vendors when specialized expertise is needed.
  • Monitor gates, signs, cameras, access roads, trails, vehicles, and possible trespass or unauthorized use while protecting information related to family schedules, ownership, guests, property strategy, and private operations.
  • Support fire mitigation and emergency readiness by monitoring defensible space, firewood storage, propane and generator safety, smoke and carbon monoxide alarms, first aid supplies, communications, winter hazards, road conditions, and emergency access. Assist with storm response, freeze protection, wildfire‑readiness tasks, and other seasonal safety needs.
Team Partnership, Documentation & Reporting
  • Partner closely with the Aspen Property Manager and family office to coordinate priorities, share relevant information, and support consistent operations across mountain and in‑town properties.
  • Use property‑management technology, including Airtable or similar systems, to track preventive maintenance, work orders, property and equipment records, vendor activity, open items, and follow‑up across all properties. Be willing to learn and implement new tools that improve consistency, visibility, and recordkeeping.
  • Communicate clearly and proactively with the Aspen Property Manager and family office. Be dependable and responsive, provide timely updates with photos and concise issue summaries, raise concerns promptly, and follow assigned items through completion.
Qualifications
  • Experience supporting private homes, estates, ranches, cabins, remote properties, hospitality properties, or high‑touch property environments.
  • Strong mechanical aptitude and comfort troubleshooting building systems, small equipment, vehicles, and remote‑property infrastructure.
  • Experience operating, maintaining, or learning specialized equipment such as side‑by‑sides, snowmobiles, snowcats, ATVs, trucks, trailers, chainsaws, and small equipment.
  • Ability to complete light repairs and practical hands‑on maintenance safely and to a high standard.
  • Comfort working in mountain environments, winter access conditions, snow, mud, uneven terrain, high elevation, and changing weather.
  • High discretion, sound judgment, and respect for privacy in a private‑family environment.
  • Ability to lift heavy items, move furniture, haul supplies, and perform physically demanding property support work.
Preferred Skills
  • Snowcat operation experience or willingness to complete training before independent operation.
  • Small‑engine, vehicle, mechanical, basic carpentry, plumbing, electrical troubleshooting, and tool‑maintenance experience.
  • Hot tub maintenance, water testing, outdoor amenity care, and seasonal facilities maintenance experience.
  • Off‑grid systems experience, including solar, batteries, generators, propane, cisterns, pumps, filtration, and septic systems.
  • Chainsaw, trail, tree‑work, defensible‑space, snow management, or wildfire‑mitigation experience.
  • Familiarity with private‑family service standards, guest‑readiness expectations, and confidential property operations.
Physical Requirements & Working Conditions
  • Work will occur at private mountain properties, remote and high‑elevation settings, and Aspen town properties.
  • The role may require work in snow, mud, rain, smoke, wind, cold, heat, and uneven terrain.
  • Must be able to lift, carry, push, pull, and move heavy items as part of ordinary property support work.
  • Schedule may vary around family visits, storms, emergencies, seasonal openings and closings, winter access needs, equipment issues, and vendor availability.
  • Some on‑call, weekend, early‑morning, or evening support may be required, depending on final scope.
