Job summary

SanMar in the Seattle area is seeking a Merchandise Sample Administrator who owns the sample flow for photo and video shoots. You will manage the sample library, track status, and serve as the go-to product expert to ensure timely delivery and accurate documentation.

Qualifications

  • 4-6 years of experience in an administrative or merchandise coordination role or equivalent education.
  • Strong work ethic and leadership qualities.
  • Clear, diplomatic communication with internal teams and external partners.
  • Excellent organization and attention to detail with ability to multi-task.

Responsibilities

  • Maintain the merchandise sample library infrastructure and data within Creativeforce.
  • Act as primary point of contact for merch and sample status, notifying and solving product scheduling challenges, and administering weekly reports.
  • Provide backup options when initial choices are unavailable and offer solutions.
  • Determine logistical assignments on a shoot-by-shoot basis for getting samples and ensure timely delivery.
  • Collaborate with the Producer to create the production schedule for each week.
  • Organize styling pieces, products, and props stored onsite at SanMar facilities.
  • Track unique, one-of-a-kind samples and ensure teams have them during production.
  • Input new products, styling pieces, and orders into the tracking system and manage tagging/shipping.
  • Facilitate storage of samples after shoots and maintain detailed records.
  • Create and maintain SOPs for sample management.
  • Tag locations for long-term scanning and accurate product information.
  • Oversee movement of product between Eastpointe, Preston, and Seattle Photo Studio locations.
  • Develop colorway/sample selections for expanded size categories with partners.
  • Maintain assets and coordinate laundering as needed and notify stakeholders.
  • Occasional weekend work/on-calls during shoots.
  • Perform other duties as assigned.
