Job summary

The American Heart Association is seeking a Meetings & Events Manager, Registration to lead end-to-end registration for multiple conferences in our Dallas, TX office with home-based options. You will partner with vendors, internal teams, and finance to ensure accurate registration, pricing, and data integrity.

Responsibilities include onsite management, reporting, and process improvement, while delivering excellent customer service and coordinating payments, refunds, and attendee communications.

Qualifications

  • Bachelor’s degree or equivalent experience in event management, hospitality, business administration, or a related field.
  • Experience managing conference or event registration for multiple concurrent events.
  • Proficiency with event registration platforms such as Maritz or similar systems.
  • Strong organizational, analytical, and problem-solving abilities; ability to handle multiple priorities and deadlines.

Responsibilities

  • Plan, execute, and oversee end-to-end registration for the International Stroke Conference and 2 specialty conferences.
  • Configure registration sites with pricing, categories, and policies; test and maintain online registration.
  • Manage registration vendor service levels and escalate issues with stakeholders and call center.
  • Coordinate with planning, marketing, and communications teams for timelines and attendee communications.
  • Process payments, refunds, discounts, and revenue reconciliation per policies.
  • Develop and deliver registration reports and post-event analytics.
  • Plan onsite registration operations: staffing, training, workflows, badge production, attendee materials.
  • Document processes and best practices for continuous improvement.

The Registration Manager is responsible for planning, executing, and overseeing all registration activities for multiple American Heart Association specialty conferences. This role ensures a seamless and accurate registration experience for attendees, speakers, exhibitors, and stakeholders while maintaining data integrity, financial accuracy, and compliance with American Heart Association policies. The Registration Manager partners closely with internal teams, vendors, and finance to support successful, mission-driven meetings.

Responsibilities
  • Working closely with the National Sr. Meetings & Events Lead, Registration, manage end-to-end registration operations for the International Stroke Conference and 2 specialty conferences, including pre-event setup, onsite execution, and post-event reconciliation.
  • Working with the registration vendor and several internal clients, this position provides all set-up information, including registration fees, ticket fees, all show items, etc., so that Maritz can configure the registration site. This position will review, preview, test, and maintain online registration, ensuring accuracy of registration categories, pricing, policies, and data fields.
  • Oversee registration vendor customer service for assigned conferences and manage all escalations. Work with the Association's Customer Call Center to ensure they have all the information needed to respond to customer inquiries.
  • Collaborate with conference planning, marketing, and communications teams to support registration timelines, promotions, and attendee communications.
  • Coordinate with registration vendor to process payments, refunds, discounts, and revenue reconciliation in accordance with the Association's financial policies.
  • Develop and deliver registration reports and analytics, including attendance trends, demographics, and post-event metrics.
  • Plan and manage onsite registration operations, including staffing plans, training, workflows, badge production, and attendee materials.
  • Identify opportunities to improve efficiency, scalability, and the overall registration experience across specialty conferences. Support continuous improvement by documenting processes, best practices, and lessons learned.
Qualifications
  • Bachelor’s degree or equivalent experience in event management, hospitality, business administration, or a related field.
  • Minimum of 3 years of experience managing conference or event registration, preferably in a nonprofit, association, or scientific meetings environment.
  • Experience managing registration for multiple concurrent events or specialty conferences.
  • Proficiency with event registration platforms (e.g., Maritz or similar systems).
  • Strong organizational, analytical, and problem-solving skills. Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Excellent customer service, written, and verbal communication skills.
Compensation & Benefits

The expected pay range will be $70,000 to $80,000. Pay is commensurate with experience; geographic differentials to the pay range may apply. The American Heart Association reserves the right to pay more or less than the posted range
