Meeting Coordinator

Who We Are:

The National Association of Attorneys General (NAAG), founded in 1907, serves as the national forum for attorneys general and their staff to collaboratively address important issues and provides resources to support their work in protecting the Rule of Law and the U.S. Constitution. NAAG promotes cooperative leadership, helping attorneys general respond effectively to emerging state and federal issues, and emphasizes professional excellence and employee well-being.

NAAG offers innovative legal training and resources in various formats, including in-person, online, live, and on-demand, utilizing experiential and instructional learning methods.

We are seeking a Meeting Coordinator to support our programs.

The Job Brief:

The Meeting Coordinator supports NAAG by managing logistical aspects of assigned programs, both in-person and virtual. This role reports to the Director of Meetings and Events. Travel is a significant part of this position, accounting for approximately 50% of the time.

A Typical Day:

  • Coordinate pre-training and onsite support, including hotel arrangements, meeting setup, catering, A/V, transportation, materials, badges, attendance, gifts, and related tasks.
  • Manage pre-training and live support for online programs, including attendee registration, platform setup, and related duties.
  • Serve as the primary contact for in-person and virtual events, maintaining professional relationships with internal and external stakeholders.
  • Follow programmatic and financial close-out procedures.
  • Provide administrative support such as agenda formatting, scheduling, and logistical coordination.
  • Monitor and adhere to program budgets, tracking expenses and managing spending.
  • Assist with travel arrangements for attendees, speakers, and staff.
  • Enter program data into organizational databases, including participant information and evaluation results.
  • Coordinate with communications and online learning departments.
  • Respond to inquiries from attorneys and circulate information as needed.

Additional Responsibilities:

  • Develop and coordinate projects under the oversight of the Meetings and Membership Director.
  • Conduct research and support projects led by program counsel.
  • Demonstrate understanding of position responsibilities.
  • Perform other tasks as assigned to support the organization.

Is This You?

  • Bachelor's degree or equivalent work experience.
  • 1-2 years of professional experience, preferably in meeting planning.
  • Strong interpersonal skills and ability to liaise effectively.
  • Diplomacy and tactfulness.
  • Problem-solving skills for decision-making.
  • Excellent customer service skills via phone and email.
  • Proficiency in Microsoft Office (PowerPoint, Outlook, Excel, Word) and database management.
  • Ability to prioritize tasks and manage multiple projects.
  • Professionalism and teamwork experience.

Location:

NAAG is headquartered in Washington, D.C.

Compensation and Benefits:

  • Salary range: $47,000 - $50,000, based on experience.
  • Benefits include paid time off, health, dental, vision, life/disability insurance, long-term care, and a 401(k) plan.
