We’re looking for an experienced Meeting & Events Manager to jump in and take ownership of a small group of domestic and international meetings and incentive programs from kickoff through onsite execution and final reconciliation.
You’ll be the primary owner of your programs — working directly with clients, hotels, venues, vendors and partners to bring the details together and deliver an exceptional experience. You’ll be hands‑on with the planning and logistics, while having a talented team around you to support registration, housing, creative, finance and other program needs.
We’re especially interested in candidates with experience at a third-party meeting management company, experiential/incentive agency, corporate meetings/events team, association or similar organization.

THE ROLE
You’ll own the planning and execution of assigned corporate, incentive, and association meetings and events, both domestic and international.
You’ll be responsible for:
- Taking programs from kickoff through onsite execution and post-event closeout
- Building and managing detailed timelines, checklists, production schedules, budgets and run‑of‑shows
- Managing hotel and venue relationships, contracts, meeting space, concessions, room blocks, BEO’s and onsite requirements
- Planning F&B, including menus, guarantees, dietary needs, budgets and service
- Managing housing, rooming lists, VIP’s, registration, speakers, sponsors and attendee needs
- Coordinating vendors, suppliers, production partners, decorators/GSC’s and other event partners
- Supporting exhibit and tradeshow logistics when applicable
- Managing program budgets, expenses, invoices, and final reconciliation
- Serving as a trusted day‑to‑day client contact and keeping clients informed throughout the planning process
- Identifying potential issues early, developing solutions, and keeping programs moving forward
- Traveling onsite to manage execution, troubleshoot issues, and ensure the details are right
- Collaborating with and utilizing internal team resources to deliver successful programs
- Contributing ideas, expertise, and process improvements that make our programs and team stronger

- You have 4+ years of professional meeting/event planning or management experience
- You have experience managing meetings and/or incentive programs from planning through onsite execution
- You’re comfortable with both domestic and international programs
- You have strong hands‑on logistical and operational expertise
- You’re highly organized, detail-oriented, proactive, and excellent at follow-through
- You’re comfortable managing multiple programs, deadlines, vendors, and clients simultaneously
- You communicate confidently and professionally with clients, hotels, venues, and vendors
- You’re a calm, creative problem solver when things inevitably change
- You enjoy taking ownership and seeing a project all the way through
- Experience with a third-party meeting management company, experiential/incentive agency, corporate meetings/events team, or association is strongly preferred
- Experience with exhibits/tradeshows is a plus, but not a primary focus
- CMP is a plus, but not required
- Comfortable in a Mac environment and have experience working in Excel, Word, Google Workspace, Slack, Monday.com, Cvent, and other event technology
- Located in Florida and can travel approximately 20-35% (often less, rarely more)
- Have a valid passport
- Bachelor's degree is preferred, but relevant experience matters more
- Bilingual English/Spanish is a plus

Travel: Approximately 20-35%, including domestic and international programs
Schedule: Meetings and events occasionally require early mornings, late nights, weekends, and flexibility around program deadlines
