Summary

This position serves as an Advanced Medical Support Assistant for the Tennessee Valley Healthcare System in Nashville or Murfreesboro – TN, ensuring assistance to Veterans by providing a smooth process for managing outpatient appointments and delivering administrative support to the assigned clinical section.

Qualifications

Applicants pending the completion of educational or certification/licensure requirements may be referred and tentatively selected but may not be hired until all requirements are met.

Basic Requirements
  • Citizenship: Be a citizen of the United States or an eligible non‑citizen under 38 U.S.C. § 7407(a).
  • No prior experience required; a high school diploma or GED equivalency is sufficient.
  • No licensure or certification necessary.
  • Physical requirements: operate a computer terminal, manage multiple activities, perform sedentary work with occasional walking, standing, bending, and light carrying.
  • English proficiency: spoken and written English.
  • Qualification under the Grandfathering Provision for current VHA employees (if applicable).
  • Grade GS‑06 requires one year of experience equivalent to the GS‑5 grade level.
  • Knowledge, Skills, and Abilities (KSAs): advanced scheduling across interdisciplinary care, policy and procedure knowledge for coordinated care delivery, medical terminology, collaboration with diverse medical clinicians, independent prioritization, effective communication (electronic, phone, in‑person, written), report preparation, and problem resolution.
  • Documented work history must include job titles, duties, start/end dates, and hours worked per week.
  • Preferred experience: prior medical support assistant role, call center, or administrative health‑care functions.
  • Physical and work‑environment details: work may be stressful during peak clinic hours; typically sedentary with occasional walking, standing, bending, and light lifting.
Duties
  • Act as an AMSA within a Patient Aligned Care Team or specialty clinic.
  • Assist Veterans with appointment scheduling, cancellation, rescheduling, and provide support for coordinated care.
  • Maintain clinic setup and adjust as needed to support efficient operations.
  • Communicate with interdisciplinary team members, VA medical centers, and other agencies to coordinate care.
  • Collaborate with the Supervisor MSA to set priorities and deadlines, and provide input on operational issues.
  • Assist the Centralized Scheduling Unit with urgent scheduling queries and provide feedback on veteran care.
  • Cover front‑desk or other team coverage as needed.
  • Prepare and process paperwork requested by Veterans and/or medical providers.
  • Coordinate information exchange and retrieve medical records for co‑managed patients.
  • Adhere to the policies and procedures related to emergency and non‑emergency transfers to other clinical/medical facilities or private hospitals.
  • Benefits: 37–50 days of annual paid time off, 13–26 days of annual leave, 13 days of sick leave, 11 paid federal holidays, paid parental leave up to 12 weeks after 12 months of employment, and a childcare subsidy up to 25% of eligible costs for qualifying families.
