Job description

Summary

The Advanced Medical Support Assistant positions are part of various health‑care service lines at White River Junction VA. Shifts are primarily during the day, with possible evenings, nights, weekends and holidays to cover shortages or increased patient volume. Shift changes are based on patient and facility needs.

Duties
  • Serve as a Medical Support Assistant (Advanced) for the White River Junction Healthcare System.
  • Provide administrative support to the assigned section, including clinic profile management.
  • Collect and update insurance information for Veterans, family members and other eligible patients.
  • Prepare correspondence and memos as required.
  • Screen and receive phone calls courteously and in a timely manner, determine the nature of requests, and provide information while adhering to privacy rules and established clinic processes.
  • Enter data accurately into VISTA and scan documents into VISTA Imaging within 24 hours.
  • Promote Veterans registration and utilization of MyHealthyVet (MHV) and kiosk services.
  • Follow procedures for Community Care referrals.
  • Act as the initial point of contact for units, clinics, patients, call centers, and Care in the Community regarding appointments and referrals.
  • Scheduling accurate appointments for emergent or urgent care.
  • Pre‑register Veterans during check‑in using caller lists and telephone systems.
  • Update all patient demographic information.
  • Communicate and interact with patients in a manner appropriate to their cognitive, emotional and chronological needs, especially for adult and geriatric patients.
Qualifications
  • United States citizenship (non‑citizens may be appointed under applicable federal law).
  • High school diploma, GED, or equivalent educational credential.
  • Experience in a clinic, hospital, or doctor’s office setting is preferred; one year of experience is required for GS‑06 grade.
  • Strong customer‑service skills demonstrated by daily interaction with clinicians, patients, families, and coworkers.
  • Ability to collaborate and communicate effectively with a wide range of medical clinicians (physicians, nurse practitioners, physician assistants, pharmacists, etc.) to support team goals and ensure patient care.
  • Proficiency with scheduling programs and computer systems common in a clinic or hospital.
  • Advanced knowledge of the technical health‑care process, including scheduling across interdisciplinary coordinated care delivery, patient portals, and community models.
  • Advanced knowledge of policies and procedures related to interdisciplinary coordinated care and patient flow.
  • Advanced knowledge of medical terminology.
  • English language proficiency, both spoken and written.
  • Ability to set priorities, manage deadlines, and maintain compliance with established processes, policies, and regulations.
  • Documentation of high‑school completion (diploma, transcript, GED, etc.) required prior to job offer.
  • GS‑06 grade determination requires at least one year of experience comparable to the next lower federal grade (GS‑05).
