Job Summary
Under the direction of the Clinic Units Manager, the Unit Manager provides supervision and work direction to Health Coaches, Unit Clerks, Unit Specialists, and other on‑call clinic staff. The manager is responsible for the day‑to‑day operations of the Units and coordinates with other departments—including Triage, Patient Services, Member Services, and Medical Records—to address workflow issues and solve problems so that efficient and effective delivery of patient services is assured.
Responsibilities
- Schedule, assign, supervise, and review the work of Health Coaches, Unit Clerks, Unit Specialists, and on‑call staff, ensuring adequate staffing and coordinating workflow.
- Orient and train staff in work procedures, protocols, standards, and safety/security practices.
- Analyze, develop, update, revise, communicate, implement, and evaluate protocols that meet licensure, regulatory, and funding requirements, ensuring changes are enforced by staff.
- Conduct staff performance evaluations, including annual and ongoing assessments.
- Screen and recommend job applications for hiring, overseeing orientation and training of new hires.
- Recommend and prepare performance improvement plans, disciplinary actions, dismissals, and other personnel actions in consultation with the Units Manager, Nurse Manager, and Human Resources.
- Consult with the Human Resources Director on matters related to the collective bargaining agreement, personnel policies, and labor laws.
- Review and submit electronic time cards.
- Monitor staffing budget, equipment, and supply purchases, collaborating with other supervisors to ensure appropriate spending.
- Continuously assess existing systems to accommodate changes in policies and procedures.
- Ensure clinic policies and procedures are enforced and implemented by staff.
- Implement quality control and maintain high standards of service.
- Collaborate with all clinics, support services, medical records, membership, and administrative staff.
- Exercise independent decision‑making, problem‑solving, and planning to improve the quality of services provided.
- Address patient complaints and problems in a timely and satisfactory manner to assure high patient satisfaction with AHS clinic services.
- Perform Health Coach duties when needed.
- Act as a backup to support functions when necessary and appropriate.
- Report regularly to the Units Manager and/or Nurse Manager for guidance and accountability.
- Participate in staff meetings and conduct a monthly meeting with Health Coaches, Unit Clerks, and Unit Specialists.
- Participate in planning and coordination of special clinic days and other agency‑wide activities.
- Recommend and evaluate strategies to improve clinic operations.
- Order office and medical supplies for the nursing component.
- Uphold personal example of standards outlined in the AHS Guide to Service Excellence and Code of Conduct, ensuring compliance with HIPAA and all other clinic policies and government regulations.
- Coordinate staffing, back‑up coverage, work distribution, and daily assignments in the clinic.
- Troubleshoot issues relating to the clinic when requested.
- Assist with special projects including EHR updates and creation of training materials related to clinic flow and customer service as assigned by the Units Manager and/or Nurse Manager.
- Adhere to policy and procedures with the units.
- Ensure patient rights to privacy, safety, and confidentiality.
- Attend appropriate in‑service education courses for technical growth.
- Supervise the Health Coaches, Unit Clerks, Unit Specialists, volunteers, and on‑call staff.
- Carry out supervisory responsibilities in accordance with all AHS policies and applicable laws.
- Interview, screen, hire, and train employees.
- Plan, assign, and direct work; appraise performance.
- Reward and discipline employees; address complaints and resolve problems.
- Prioritize and effectively manage competing interests in inter‑relationships between patients, supervisees, and colleagues.
Qualifications
- A high school diploma or a Bachelor’s degree with four years of relevant work experience, or two years of relevant work experience in a health care setting.
- Certified Medical Assistant (CMA).
- Master’s degree (M.A.) preferred.
- Valid California Driver’s License with insurance and ability to travel as required.
- Bilingual/Bicultural in an Asian language preferable.
- Commitment to working in the Asian community and community health care with community health clinics preferred.
- Prior supervisory experience preferred.
- Training and experience in the full scope of health coaching duties with front and/or back‑office skills including leadership, troubleshooting, and team‑building abilities.
- CPR certification required.
