Job summary

Saban Community Clinic in Los Angeles, CA is seeking a Supervisor for Back Office Medical Assistants. The role oversees MA staff at multiple sites, with an hourly salary range of $29.61–$34.00 and duties spanning scheduling, training, and performance management.

The candidate will provide direct patient care when needed, ensure patient-centered service, and maintain compliance with safety and privacy rules.

Qualifications

  • High school diploma or GED.
  • Completed Medical Assistant program, CMA or LVN certification preferred.
  • 4+ years experience as a medical assistant in healthcare.
  • 2+ years in senior/lead supervisory role in outpatient setting.
  • Bilingual in Spanish, Korean or Russian preferred.

Responsibilities

  • Provide direct supervision to back office medical assistants including recruiting, training, onboarding, and performance management.
  • Create daily/weekly/monthly MA clinic schedules; coordinate with Clinic Manager for staffing.
  • Deliver corrective actions in consultation with HR.
  • Monitor in-basket messages for MA pools to ensure timely completion.
  • Provide direct patient care as needed and ensure patient-centric service.
  • Uphold safety, infection control, and privacy regulations (HIPAA).
  • Collaborate with Clinic Operations Manager to mentor MAs and schedule training.
  • Assist with training across departments and ensure policy enforcement.

Duties and Responsibilities:
  • Provide direct supervision to the back office (medical assistant) staff including recruiting, training, onboarding, and performance management.
  • Responsible for creating daily, weekly, and/or monthly medical assistant clinic schedules and working with the Clinic Manager and other Medical Assistant Supervisors for finding staff coverage when needed.
  • Document and deliver corrective actions and/or counseling sessions in consultation with Human Resources.
  • Actively monitors, participates and ensures the In-basket messages for medical assistant pools are completed timely.
  • Must be able to provide direct patient care, as needed, performing all required tasks of a medical assistant staff.
  • Implement the organization's customer service mandate and ensure staff delivers a patient centric experience while upholding all applicable rules and regulations of a safe and fast-paced workplace.
  • Ensures adherence to emergency procedures, codes and drills and infection control procedures.
  • Participates in both external and internal audits, including chart audits.
  • Work collaboratively to support patient flow throughout the clinic and escape issues, as appropriate, to the Clinic Operations Manager.
  • Collaborates with the Clinic Operations Manager to provide guidance, training, and mentorship to medical assistants to enhance their skills and competencies.
  • Monitors strict adherence to universal precautions as established by the Center for Disease Control and Prevention.
  • Actively participates in working with the Clinic Operations Manager and HR to create training schedule for all incoming Medical Assistants, including. cross training for other departments, to ensure organizational policies are applied consistently and fairly.
  • Perform a variety of clerical tasks, such as answering and directing calls and correspondence (grievance/patient complaints), arranging meetings, scheduling appointments, all while adhering to the clinics policies and regulations.
  • Support the incident management process and de-escalation of patient/team situations to ensure a safe working environment and patient experience.
  • Responsible for ensuring all staff are adhering to the clinical competencies.
  • Provide support during absences, crisis situations or heavy workloads, including other sites.
  • Other responsibilities as assigned by Clinic Operations Manager and/or upper leadership.
Position Requirements:
  • High school diploma or General Educational Development (GED) Certificate required.
  • Completed a Medical Assistant program, be a certified Medical Assistant or have an active LVN Certification
  • At least four (4) years experience as a medical assistant in a healthcare setting
  • At least two (2) years of experience in a senior/lead/supervisory role within an outpatient/ambulatory clinical setting.
  • Bilingual skills (writing and verbal) in Spanish, Korean or Russian, preferred.
  • Active BLS Certification required
  • Certified in Phlebotomy, strongly preferred
  • Site audit experience, preferred.
  • Proficiency in using electronic medical records (EMR systems and office productivity
  • Proven experience as a medical assistant with demonstrated leadership abilities.
  • Excellent organizational and time management skills, with strong attention to detail.
  • Strong communication and interpersonal skills, fostering effective teamwork and collaboration.
  • Knowledge of medical terminology.
  • Understanding of privacy regulations, including HIPAA,
  • Be able to communicate effectively and courteously, with cultural sensitivity; both with staff and patients.
  • Fluent in another language such as Spanish, Armenian or Korean
  • The flexibility to deal effectively with changes in work schedules and be able to travel from site to site.
