Job description

Position Summary

The Medical Assistant/Scheduling Coordinator in the Radiation Oncology department has a dynamic role that involves various tasks. The coordinator relieves and assists with administration needs and other clinical personnel, scheduling new patient appointments, obtaining insurance authorizations, and assisting with coverage at all centers as needed. Reporting to the Clinical Administrator, the coordinator works together to plan and implement corrective action(s) that improve and maintain the actions aimed at enhancing patient care quality and staff efficiency.

Essential Duties And Responsibilities

The essential functions include, but are not limited to the following:

  • Under the guidance of the clinical administrator, will assist in continuous quality improvement of clinical processes.
  • Quality Improvement: Assist in the continuous enhancement of clinical processes.
  • Policy Compliance: Ensure adherence to established policies and procedures.
  • Reporting and Collaboration: Report to and work with the Clinical Administrator to implement corrective action as needed.
  • Referral Log Management: Keep Radiation Oncology Referral logs current.
  • Staff Training and Support: Help train and support new and current staff members.
  • Supply Management: Assist with quarterly supply orders.
  • Patient Information Management: Obtain and input patient demographic and insurance information into the EMR (ARIA/UF) system.
  • Insurance Authorization: Obtain necessary authorizations or referrals from insurance companies, portals, or primary care physicians, and scan these into the patient's EMR.
  • Medical Records Requests: Request relevant medical records from referring physicians and documents related to diagnosis.
  • Patient Communication: Mail new patient forms or guide patients on how to complete forms via the website.
  • Hospital Follow-Up Scheduling: Schedule hospital consults by coordinating with individual physicians to determine which patients require follow-up appointments. Contact hospital follow-up patients, schedule appointments, and obtain hospital records.

Responsible for obtaining benefits and prior authorizations for medications

  • The Medical Assistant performs administrative and clinical duties under the direction of a licensed healthcare provider. Maintains patient records, prepares patients and rooms for examination, assists physicians with exams, and performs front-desk tasks.
  • Assists with cross-coverage as needed, including being a medical assistant at all Radiation Oncology Centers.
  • Assist with phone coverage.
Qualification/Requirement
  • Ability to apply a common sense understanding to carry out detailed but uninvolved written or oral instructions.
  • Ability to deal with problems involving occasional, last-minute changes in generally standardized situations.
  • Above average communication skills and strong attention to detail.
  • Ability to work in a team environment.
  • Ability to learn and utilize multiple computer systems.
Education/Training/Experience
  • Completion of an accredited Medical Assistant certification program.
  • Certified or Registered Medical Assistant preferred.
  • CPR certified.
  • 5+ years of related healthcare experience and/or training.
  • Minimum of 2 years of Lead experience
  • Knowledgeable in Insurance Authorization
  • Knowledge of EMR, medical terminology, ICD-10, and CPT codes.
