Job summary

Acorn to Oak Health is seeking a compassionate Medical Assistant to join our community-focused practice in Palmetto, GA. You will support physicians, perform health screenings, collect specimens, and manage patient flow in a state-of-the-art clinic.

The ideal candidate has formal Medical Assistant training, certification within 90 days, and experience with EPIC EMR. You will assist with vaccines, basic lab work, and front-office duties while upholding HIPAA standards and quality patient care.

Qualifications

  • Graduation from an accredited Medical Assistant program or nursing assistant with clinical experience.
  • 3 years of previous medical assisting experience in an outpatient setting; or equivalent.
  • Certification within 90 days of employment (AAMA/ABHES or similar).
  • Proficiency with EPIC EMR and basic data entry.

Responsibilities

  • Compliance with HIPAA and confidentiality policies; maintain patient safety and privacy.
  • Prepare examination rooms, stock supplies, and manage instruments.
  • Meet and assist patients; collect patient data and vital signs; document in EMR.
  • Administer vaccines under supervision and assist with procedures.
  • Operate lab duties including phlebotomy; perform waived tests and specimen handling.
  • Distribute patient education materials and provide take-home instructions.
  • Document patient histories accurately in EMR and paper records as needed.
  • Maintain safety and equipment readiness; follow cleaning and maintenance protocols.
  • Coordinate front office tasks: scheduling, registrations, referrals, and billing support.
  • Answer calls and inbox messages; manage prescription refills under physician guidance.
  • Communicate professionally with patients and staff; support team leadership.
  • Engage in ongoing professional development and participate in trainings.
  • Assist with orientation of new staff and may supervise junior team members.
  • Maintain inventory and ordering of medical supplies and medications.

As a Medical Assistant, you will utilize your medical assisting skills to provide care to patients under the supervision of a physician, advanced provider or a nurse. A Medical Assistant in this role is familiar with performing health screenings, collecting specimens, administering medication, updating health records, keeping medical supplies stocked, maintaining examination areas, and monitoring, recording, and communicating patients’ conditions. Medical Assistants also perform a variety of administrative duties, such as appointment scheduling and patient registration, which offers a unique learning opportunity that will expand your skill set.

Essential Duties & Responsibilities

Compliance: Complies with all HIPAA policies specifically relating to patient confidentiality and release of information; maintains strict confidentiality on all patient information and practice matters; remains current on HIPAA, OSHA, CLIA, Infection Control, patient safety, and other mandatory regulations, standards, and organizational policies and procedures.

Examination Room Preparation: Cleans and prepares examination rooms for patients and ensures that they are stocked appropriately with supplies and instruments; adheres to administrative and/or medical supply ordering process in the office.

Patient Care: Meets and greets patients in a professional manner; escorts them to the exam room; identifies patients by confirming with them their date of birth and/or social security number; obtains appropriate patient information and medical history and documents in a legible manner for licensed personnel; takes and records patient vital signs (i.e., blood pressure, temperature, pulse, respiration, weight); aids the physician, physician extender, and/or nursing staff during treatment, examination, and/or testing of patients, which may include injections and immunizations; may assist with procedure scheduling and ancillary testing.

Laboratory/Vaccines: May perform lab duties including but not limited to, phlebotomy, order entry, and waived procedures; collects laboratory specimens from patients; establishes chain of custody, if applicable, and labels for delivery to appropriate authority for testing. Administer vaccines under the supervision & training of a licensed physician or nurse. Performing & running in-house labs (Rapid Strep, Viral PCR, POC Fingerstick, Urinalysis, etc). Assist with medical procedures and treatments.

Equipment Operation: May perform standard EKG, spirometry, and/or other similar office procedures in a manner supporting practice standards, patient safety, and quality patient care.

Patient Education: Under the supervision of licensed personnel, distributes educational information and instructions for patient care, diagnostics, and other appropriate treatments to patients and family members/significant others; provides written instruction to patients, as directed, in preparation for diagnostic tests, procedures, and treatments.

Records Documentation: Accurately completes and documents patient medical and physical histories and other related documents utilizing electronic medical record applications and/or in writing, in accordance with established procedures.

Safety: Follows all practice protocols and/or standing orders that promote a safe and productive work environment; supports practice’s procedures and policies for proper cleaning, routine maintenance, and evaluation of medical equipment to ensure proper equipment functioning and patient safety.

Front Office Coordination: Assists with physician’s patient schedule to ensure the timely flow of patients; assists with check in and check out procedures, assist with referrals, registration, cashiering, and scheduling appointments, tests, and/or hospital admission arrangements; completes medical and physical history forms and other related information requested by third party payors for physician’s review and signature.

Telephone & Inbox Management: Under a physician or other licensed provider’s guidance, receives incoming telephone calls and inbox messages; responds to patient and family questions regarding medication and treatment instructions; coordinates telephone and inbox requests to refill prescription drug medications in accordance with physician instructions; immediately advises physician and/or nurse of patient’s adverse reaction to medication and/or treatment; notifies patients of their test results as directed by a physician or licensed provider.

Communications: Communicates in a professional manner; demonstrates effective and appropriate oral and written communication skills with patients, staff, and healthcare providers; demonstrates an understanding of leadership principles through interactions with staff and healthcare providers.

Professional Development: Assumes responsibility for own professional growth by participating in continuing education activities and/or professional organizations; attends required meetings and in-services, and participates in committees.

Leadership: Assists with the orientation of new and temporary staff; may serve as a preceptor for new clinical staff; regularly assists with the planning and implementation of office-based in-services and competency testing; may coordinate the activities of others assigned to a designated area.

Materials Management: Maintains a supply of medications, medical instruments, and supplies; requests supplies as needed; may order and maintain medical supplies and equipment inventory for assigned area or office and issue supplies and equipment as required.

Supervisory Responsibilities

This job has no supervisory responsibility, but may assist with the orientation of new and temporary staff and as a preceptor for new clinical staff.

Education and/or Experience

Graduation from an accredited Medical Assistant program and three years previous experience as a medical assistant in an outpatient clinic; or completion of a Nursing Assistant program and three years previous experience as a patient care assistant, preferably a primary care setting; or High School diploma or general education (GED) and four years primary care experience. Some applicants may be required to possess a radiological safety certificate.

Preference may be given to candidates who possess a Medical Assistant Certification from the Commission on Accreditation of Allied Health Education Programs (CAAHEP); or the Accrediting Bureau of Health Education Schools (ABHES); or a similarly recognized certifying organization. As a condition of employment, candidates must become certified within the first 90 days of employment.

Applicants must obtain a basic Cardiac Life Support Certification within the first 3 months of employment and possess average data entry skills.

Language Skills

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Mathematical Skills

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.

Reasoning Ability

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Computer Application Skills

Previous exposure to the electronic medical record system EPIC. Ability to acquire a working knowledge of Centricity, and if applicable Windows 2000 XP

Certificates, Licenses, Registrations

Candidates must possess Certification from the American Association of Medical Assistants (AAMA) or a similarly recognized certifying organization within 90 days of employment.
