Position Overview

To assist patients to understand recommendations given by their health care providers; performs patient care functions; answers and screens medical calls; post patient’s information to medical records and provides support in planning continuity of treatment.

Responsibilities
  • Participates with medical/Interdisciplinary team to coordinate and facilitate patient flow and chart management.
  • Maintain a positive, self‑motivated attitude.
  • Perform point of care glucose testing and spot hemoglobin, document performance and results in EHR.
  • Assist with obtaining authorizations for services and submit required justification.
  • Escort patients from reception to all patient areas.
  • Review healthcare questionnaire for completeness and obtain missing information.
  • Notify treating provider when patients ready to be seen and expedite smooth patient flow.
  • Ensure patient care areas kept clean and tidy; change beds; remove soiled linen; maintain clean linen supply.
  • Proactively prepare supplies and equipment for minor procedures (biopsies, injections, suture removal, wound debridement).
  • Conduct weekly supplies check for expiration.
  • Check sharps containers daily, replace full containers; store in dirty utility room for pickup.
  • Ensure HIPAA compliant patient identifying information; remove patient identifying info; scan into EHR or confidential bin for shredding.
  • Schedule ordered tests as appropriate.
  • Answer telephone calls, explain clinic process, fee schedules, services; provide general info and refer to provider when necessary.
  • Inform patients/guardians regarding services, contraindications, procedures, after‑care instructions, or counsel based on payer requirements.
  • Assist clients in completing medical history/intake forms and consents; ensure patient understands signature process.
  • Review patient chart for completeness, errors, signatures and appropriate assembly.
  • Measure vital signs, weight and height in NextGen and report to provider.
  • Assist clinicians with medical examinations as needed.
  • Create and document appropriate referrals; forward to referrals clerk promptly to ensure compliance.
  • Prepare treatment rooms for examination.
  • Clean and sterilize instruments.
  • Give injections or treatments, perform routine laboratory tests.
  • Ensure necessary equipment available in rooms.
  • Send labs to correct laboratories per patient insurance.
  • Able to cover all departments Pediatrics, Women’s health, General medicine.
  • Operate EKG and other equipment to administer routine diagnostic tests or schedule patients for tests.
  • Consistently check oxygen tank weekly; check crash cart monthly.
  • Identify, initiate and implement measures to deliver high quality care and improve services.
  • Respond efficiently and timely to all patient and provider staff needs and inquiries.
  • Ensure excellent customer service to FHCCGLA patients.
  • Work with operations managers to manage patient scheduling and flow to address bottlenecks and scheduling issues.
  • Handle patient grievances according to FHCCGLA’s policy & procedure.
  • Assist in developing, updating & reviewing FHCCGLA policies & procedures with input from key personnel.
  • Ensure HIPAA compliance by maintaining strict confidentiality of patient data and EHR/PMS per regulations and FHCCGLA P&P’s.
  • Attend meetings and trainings: quarterly staff meetings/training; corporate risk management meeting; clinical & operations meeting; meetings with executive leadership; other pertinent meetings; remain informed of current legal and regulatory changes, specific programs/payors, insurances accepted, services offered at FHCCGLA; all applicable policies & procedures.
  • Other duties as assigned.
Qualifications
  • Certificate required.
  • Current CPR certification required and must be kept up to date.
  • FQHC experience highly preferred.

  • Knowledge of administrative principles and procedures.
  • Computer knowledge preferred (NextGen, Microsoft Word, Excel).
  • Strong verbal and written communication skills.
  • Bilingual English/Spanish and familiarity with Hispanic culture.
  • Access to automobile with valid California driver’s license and state‑mandated insurance.
  • Work schedule may include evenings, overtime, and weekends as needed.
  • Ability to prioritize workload and work under pressure of deadlines.
  • Motivated and committed to high‑quality healthcare for indigent and underserved communities.
  • Willingness to adapt to agency growth and expansion.
  • Ability to speak Spanish (preferred).
  • Observes regulations on time card use and reporting.
