Job summary

Responsibilities

  • Process, maintain, and track confidential MV documents for eligible students.
  • Serve as enrollment specialist to ensure services are provided for MV students.

  • Coordinate data entry into OSPI systems for MV reporting and enrollment.
  • Develop program reports and assist MV Liaison and Director with data needs.
  • Maintain deadlines and ensure accurate MV eligibility processes.
  • Collaborate with transportation and school staff to confirm enrollment.

Salary Level: PT5 $31.61 -$45.27 (DOE)

Union/Days per year: Professional Technical/12-month; 260 days

This position processes, maintains, and tracks confidential documentation of current and potential students for McKinney Vento (MV) tracking systems; serves as enrollment specialist for eligible students ensuring they receive services necessary for them to succeed in school; supports department staff and is responsible for compliance with state and federal reports.

ESSENTIAL JOB FUNCTIONS
  • Initiates and monitors comprehensive data collection and tracking to ensure that children are selected based on McKinney Vento standards; works with school staff to make sure that homeless children and youth are immediately enrolled.
  • Coordinates data entry processes into Office of Superintendent of Public Instruction (OSPI) program data collection system to ensure appropriate selection, ranking, wait lists, attendance, volunteer/in kind reporting and required reporting; submits collected data, under the direction of the MV Liaison, for the Consolidated State Performance Report.
  • Develops program reports for planning; customizes specific reports for MV Liaison(s) and the Director; may work with the MV budgeting system, as directed by MV Liaison.
  • Ensures accurate work and compliance with deadlines according to MV criteria.
  • Serves as liaison, as necessary, for transportation and school staff; evaluates changes in routes and stops, to ensure continued program enrollment.
  • Develops collaborative relationships with community programs and services; prepares and coordinates distribution of program materials and maintains documentation; develops and maintains a web page and community related program information.
  • Provides technical support and training, as directed; serves as technical liaison for program computer system development.
  • Interprets, under direction of MV Liaison, federal and state MV regulations and may recommend enrollment policy and procedure changes.
OTHER JOB DUTIES
  • Maintains and updates knowledge and skills necessary for success in the position by attending meetings, OSPI webinars, workshops and/or other in-service activities as assigned; may serve on related committees as assigned.
  • Performs related duties as assigned, on a temporary basis.
  • Regular, reliable, predictable attendance or physical presence is an essential job requirement and critical to the performance of the work.
REPORTING RELATIONSHIPS

Reports to Director, Title I and Support Programs and/or assigned administrator.

CONDITIONS

Office environment; experiences prolonged confinement to workstation and exposure to video display; requires detailed and precise visual concentration; may experience frequent interruptions; may be required to deal with, and defuse, if appropriate, sensitive situations and/or people; may be required to lift and carry up to 20 pounds, bend, squat, stoop, kneel, crouch, walk, twist, climb, and/or be mobile.

Education and Experience

Associate’s degree or two-year vocational certificate in business or related field, and at least two, preferably three, years of experience in an office environment, preferably, in an educational field, preferably in a low-income setting; and/or any combination of experience and training which provides the applicant with the knowledge, skills, and ability required to perform the work.

Licenses/Special Requirements

Washington State driver’s license with access to personal transportation.

Fingerprints and successful WSP and FBI background clearance/sexual misconduct clearance.

Allowable Substitution

Equivalent combinations of education and experience will be evaluated by the Human Resources Department for comparability.

Knowledge, Skills and Abilities

Knowledge of programs dealing with children of domestic violence and the homeless.

Knowledge of the McKinney-Vento Act and its requirements.

Knowledge of student information system.

Knowledge of and demonstrated ability to operate a personal computer and database software.
