You will work closely with product vehicle engineering, logistics, operations, and external partners to unify scheduling processes and ensure efficient utilization of vehicles across multiple programs and locations. The position demands proactive planning, strong communication, and diplomatic leadership to navigate complex stakeholder relationships, drive alignment, and support high-impact testing operations in a dynamic environment.

Responsibilities
  • Coordinate the complete lifecycle of test trucks, managing transitions from initial build through testing, maintenance, and fleet disposition.
  • Plan and schedule shop work across multiple internal locations and external facilities to optimize vehicle availability and throughput.
  • Schedule and coordinate third-party test events, such as dynamometer (Dyno) testing, and support vendor request-for-quote (RFQ) activities and DVP burn-down meetings.
  • Act as the primary liaison between test engineering, shop leads, maintenance teams, program managers, and third-party vendors to ensure clear communication and alignment.
  • Exercise diplomacy and lead cross-functional stakeholders through change management processes, driving adoption of unified scheduling practices.
  • Facilitate weekly planning meetings and cross-functional discussions to align resources, resolve scheduling conflicts, and maintain accurate test timelines.
  • Ensure proper documentation and contracts are in place for vehicle loans, transfers, and returns across all programs and locations.
  • Prioritize scheduling decisions based on program urgency, resource constraints, test readiness, and strategic business needs.
  • Monitor and analyze truck usage to identify bottlenecks, underutilization, and opportunities to improve efficiency.
  • Recommend adjustments to schedules, resource allocation, and workflows to increase throughput and reduce idle time.
  • Support forecasting and resource planning for future test cycles, helping stakeholders anticipate vehicle and facility needs.
  • Maintain accurate records of truck assignments, test durations, and vehicle movements across locations.
  • Generate utilization reports and dashboards for leadership review, providing clear visibility into fleet usage and scheduling performance.
  • Document and maintain standard operating procedures (SOPs) for lifecycle scheduling, coordination, and reporting.
  • Use scheduling tools and software such as MS Project, Excel, and Jira to manage timelines, track progress, and communicate updates.
  • Collaborate with operations and fleet management teams to align scheduling with operational constraints and system capabilities.

  • Proficiency with scheduling tools and software, including MS Project, Excel, and Jira.
  • Demonstrated experience in stakeholder management, with the ability to work cross-functionally and diplomatically with diverse teams.
  • Strong organizational skills and attention to detail, with the ability to maintain accurate records and documentation.
  • Excellent communication, listening, and interpersonal skills to facilitate meetings and resolve conflicts.
  • Ability to manage documentation and reporting, including utilization reports, dashboards, and SOPs.
  • Experience in operations or fleet-related coordination, with an understanding of how scheduling impacts overall performance.
Additional Skills & Qualifications
  • Experience using fleet management systems to track and optimize vehicle utilization.
  • Knowledge of vehicle testing protocols and environments, including functional, RG, and durability testing.
  • Ability to manage multiple priorities and deadlines in a fast-paced, evolving environment.
  • Comfort working in undefined or emerging operational areas, with a self-guided and adaptable approach.
  • Experience in lifecycle scheduling and coordination across multiple locations and external facilities.
  • Background in stakeholder engagement and cross-functional collaboration in engineering or operations settings.
  • Familiarity with operations reporting, documentation practices, and continuous improvement methods.
