Job summary

County Materials Family of Companies is seeking a Marketing Project Coordinator in Marathon, Wisconsin to organize multiple marketing projects from intake to delivery. You will define objectives, schedules, milestones, and stakeholders, ensuring deadlines and quality standards are met.

You will work with Marketing Channel Leads, Project Managers, and external printers/vendors to keep projects moving and to manage communications, status updates, and required approvals in a fast-paced environment.

Qualifications

  • Associate or Bachelor's degree in Business, Marketing, Communications, or related field.
  • 2-4 years of project/marketing coordination experience with multiple concurrent projects.
  • Experience with project management platforms and MS 365 applications.
  • Experience with external printers, promo vendors, and fulfillment partners.
  • Experience on a Marketing team with multi-channel workflows.

Responsibilities

  • Coordinate multiple marketing projects from intake through final delivery.
  • Clarify objectives, scope, stakeholders, and deadlines for each project.

We're hiring a Marketing Project Coordinator to join County Materials in Marathon, Wisconsin

Job Summary

The Marketing Project Coordinator is responsible for coordinating multiple marketing projects from request intake through final delivery. This role establishes project requirements, schedules, milestones, priorities, and next steps; maintains accurate project information; coordinates stakeholders and resources; and monitors execution to help ensure objectives, quality standards, and deadlines are achieved.

Working independently and in partnership with Marketing Channel Leads and Project Managers, this position serves as a central point of coordination for internal customers, Marketing team members, and external vendors and suppliers. The Marketing Project Coordinator proactively identifies priorities, risks, missing information, bottlenecks, and delays; communicates status and expectations; and follows through on actions needed to keep projects moving toward successful completion. This role is well‑suited for someone who enjoys staying busy, creating order across a high volume of active work, and responding constructively as business needs and priorities change.

Job Duties & Responsibilities
  • Coordinate multiple concurrent Marketing projects from request intake through final delivery, maintaining ownership of schedules, follow-up, and project information.
  • Clarify project objectives, scope, requirements, stakeholders, deliverables, deadlines, specifications, and approval responsibilities.
  • Build, maintain, and communicate project plans, schedules, milestones, task assignments, dependencies, and status updates in the Marketing project management system.
  • Proactively identify risks, conflicting priorities, missing information, bottlenecks, and delays; elevate concerns and coordinate corrective action to keep projects on track.
  • Follow up on open tasks, content, decisions, and approvals to maintain momentum and accountability.
  • Review project information and deliverables for accuracy, completeness, consistency, and adherence to requirements before routing work to the next stage.
  • Manage the Marketing Team email inbox as a request‑intake channel by triaging requests, coordinating responses, clarifying needs, escalating concerns, and communicating next steps.
  • Coordinate estimates, pricing comparisons, purchase information, project specifications, proofs, production schedules, fulfillment, shipping, and delivery with external vendors and suppliers.
  • Coordinate execution of internal team member communication projects and other multi‑channel Marketing deliverables.
  • Participate in project review and process‑improvement meetings; document decisions, update plans and records, and implement approved changes.
  • Close completed projects by confirming delivery, organizing project records and files, documenting outcomes, and identifying lessons learned or process‑improvement opportunities.
  • Perform other duties as assigned.

Experience & Qualifications
  • Associate or Bachelor's degree in Business, Marketing, Communications, or a related field
  • 2-4 years of project coordination, marketing coordination, administrative project support, or related experience, including experience supporting multiple concurrent projects, maintaining schedules and deadlines, coordinating information among stakeholders, tracking project status, following up on open items, and helping move work through completion.
  • Experience using project management platforms, digital asset management software, and Microsoft 365 applications to manage project plans, schedules, assignments, documentation, and reporting.
  • Experience working with external printers, promotional product vendors, and fulfillment partners, including requesting estimates, comparing pricing and production options, coordinating project specifications, and managing project timelines.
  • Experience working on a Marketing‑related team with an understanding of project workflows, review and approval processes, and deliverables produced through multi‑channel marketing efforts.
  • Demonstrated success managing a high volume of concurrent projects with competing deadlines, changing priorities, and multiple stakeholders.
  • Strong planning, prioritization, and time‑management skills, including the judgment to distinguish urgent requests from high‑impact priorities and adjust plans appropriately.
  • Ability to translate customer requests into clear scope, requirements, schedules, assignments, approval steps, and next actions.
  • Strong verbal and written communication skills, including the ability to ask clarifying questions, set expectations, communicate status or delays, and collaborate effectively with customers, stakeholders, vendors, and team members.
  • Exceptional attention to detail and follow‑through, with demonstrated ability to maintain accurate project records and verify requirements before work advances.
  • Demonstrated problem‑solving ability, including anticipating project risks, addressing delays or bottlenecks, and initiating practical solutions to keep work on track.
  • Self‑motivated, accountable, and highly organized, with the ability to work independently while maintaining a positive, responsive, and team‑oriented approach in a fast‑paced environment.
  • Valid driver's license with clean driving record
Work Environment
  • Work pace: This is a high‑volume, deadline‑driven role for someone who enjoys staying busy, creating structure across multiple active projects, shifting between priorities, and maintaining accuracy and responsive communication as business needs evolve.
  • Work is typically performed in an indoor office environment. Limited hybrid or remote work arrangements may be considered based on business needs.
  • Exposure may include: Extended computer use, and occasional shipping, receiving, and handling of marketing materials.
