Job Title: Marketing Coordinator

Our Mission: Collaboraction builds knowledge, empathy, dialogue and action around oppression and inequity through live theatre, film and online interactive programs that leverage the power of storytelling and community to cultivate positive social change.

Position Type: Part-time, 1099 contract

Reports To: Executive Director

About the Role

Collaboraction is seeking a highly organized, deadline-driven Marketing Coordinator to serve as the operational hub for all promotional activity across our productions, collaboration events, and off-site happenings. This is a coordination-first role: you will take our programming calendar and turn it into a working promotional pipeline — making sure every event has the digital and print assets it needs, on time, so that our team can maximize awareness and ticket sales for every show and partnership.

You’ll work closely with the Executive/Artistic Director, our graphic designer, our producers, and our space/event rentals team, keeping everyone aligned on timelines and deliverables so nothing slips through the cracks.

Work Schedule & Onsite Expectations

This role is a hybrid mix of remote and onsite work. Onsite presence is expected a minimum of 1 day per week (Tuesdays preferred), with up to 3 days onsite as needed depending on what’s happening on the calendar that week.

During major events (e.g., Utopian Ball), expect an all-hands-on-deck dynamic — additional onsite days and flexibility to shift priorities on short notice should be anticipated during those weeks.

What You’ll Do
Calendar & Timeline Management
  • Own the marketing production calendar, working backward from each event’s date (including off-site collaborations and rentals) to set realistic deadlines for assets, approvals, and launch.
  • Flag events that need extra promotional lead time and build in buffer before they become urgent.
  • Keep a live master schedule that shows, at a glance, what’s due, what’s in progress, and what’s overdue.
Creative Direction & Design Coordination
  • Write and distribute clear, complete creative briefs to the graphic designer quickly after event details are confirmed — no bottlenecks on the marketing end.
  • Track all requests through to delivery, follow up proactively before deadlines (not after they’re missed), and manage revisions so final art comes back on schedule.
  • Serve as the point person the designer, producers, PR, Social Media team, and rentals/space team can come to for what’s needed and by when.
Website & Digital Assets
  • Get new event and ticketing information onto Collaboraction.org promptly and accurately, coordinating with the web/graphic designer as needed.
  • List events on third-party platforms — Eventbrite, Do312, and others as needed — keeping details, dates, and ticket links current.
  • Post and update event listings (postings only) on X, TikTok, and Facebook, with particular attention to Facebook Events.
  • Proofread and QA all public-facing listings before they go live.
Social Media & Editorial Calendar
  • Coordinate directly with the Social Media Manager to ensure the editorial calendar reflects the current programming schedule.
  • Proactively flag when the calendar needs to adjust — new events added, dates changed, priorities shifting — so content doesn’t fall behind.
  • Provide the Social Media Manager with assets, key messaging, and timing needs for each campaign.
  • Some experience working with Adobe Photoshop, Canva, InDesign, etc. creating copy, and short form video such as reels
  • Ability to post on social media platforms -X, Tik Tok, FB events
  • Ability to use apps such as Mailchimp, Eventbrite, Give Butter, etc
Paid Media & Ad Buys
  • Identify major events and high-priority ticket-sales windows early, and schedule boosts/ad buys accordingly.
  • Coordinate budget, timing, and targeting for paid campaigns with leadership, adjusting spend as ticket sales data comes in.
PR & Earned Media
  • Support media outreach and earned media strategy alongside paid promotion — press releases, media lists, listings, and pitch coordination.
  • Help ensure messaging is consistent across earned, owned, and paid channels.
General Marketing Support
  • Write marketing copy for print and digital materials (flyers, programs, posters, email, web)
  • Execute monthly or bi-weekly Mailchimp and e-blasts of events as needed
  • Coordination with the printer (Printworks or other), including gathering materials or coordinating pickups.
  • Drive dispersal onsite and throughout the community; create and maintain a dedicated drop‑off map for handbills.
  • Contribute to institutional brand and identity consistency across all materials.
  • Support connection‑building with partner organizations, community groups, and local activists tied to specific events.
What Success Looks Like
  • Every event has its full slate of marketing materials ready with time to spare — nothing last minute.
  • Creative briefs go out fast, and art comes back by deadline because follow‑up is consistent and expectations are clear from the start.
  • The website and social calendar are always current and in sync with the live programming schedule.
  • Ad spend and boosts are planned ahead of key on‑sale windows, not reactive to slow ticket sales.
  • Leadership, the designer, producers, and rentals team all know where things stand at any given moment.
Qualifications
  • Experience coordinating marketing or production timelines, ideally in theatre, film, events, or a related creative/nonprofit environment.
  • Strong project management instincts — comfortable tracking multiple deadlines and deliverables across several people at once.
  • Excellent written communication skills; able to write clear creative briefs and marketing copy.
  • Experience with (or working knowledge of) Adobe Photoshop/InDesign helpful, but not required if strong at directing a designer.
  • Comfortable with Wix, Microsoft Word/Excel, and Google Docs/Sheets.
  • A passion for social justice, community-based storytelling, or activism-oriented marketing is a strong plus.
  • Self-directed, proactive, and comfortable following up without being asked twice.
Compensation

1099 contract, estimated 50 hours/month, $19.25/hr, paid for actual hours worked as part of Collaboraction’s Pay Equity Policy. Please note: as a part-time 1099 position, this role does not currently include health insurance benefits.
