NOCO Energy Corp. is seeking a Marketing Assistant & Event Coordinator in Tonawanda, NY to support in-house marketing operations and plan a variety of events.

The role is approximately 60/40 split between marketing administration and event coordination, with duties spanning media buys, invoicing, booth setup, and employee appreciation events. The ideal candidate is highly organized with strong communication skills, comfortable with budgets, and able to manage multiple projects.

Qualificações

  • Associate's or bachelor's degree in marketing, communications, hospitality, business, or related field; or equivalent experience.
  • 2-4 years of experience in marketing administration, event coordination, or similar role.
  • Exceptional organization and attention to detail; ability to juggle many moving parts.
  • Comfort with numbers, budgets, and reconciling spreadsheets; proficiency in Excel, Word, and PowerPoint.
  • Strong written and verbal communication skills with a friendly, professional presence.
  • Willingness to work some evenings and weekends for events; ability to lift and transport event materials up to 40lbs.
  • Valid driver's license and reliable transportation for travel across Western New York.

Responsabilidades

  • Marketing Administration: track media buys and reconcile invoices; manage purchase orders and vendor billing; maintain calendars, timelines, and asset libraries; enter codes in systems like ServiceTitan; order branded merchandise and collateral; prepare meeting notes and reports.
  • External Events: plan and execute community and customer events (fairs, sponsorship activations, open houses, prospect events, fundraisers); handle registrations, vendor/venue coordination, permits, booth setup/breakdown, staffing, and supplies.
  • Internal Events: plan employee events (meetings, town halls, appreciation events, product launches); support culture initiatives and cross-location coordination.
  • All Events: manage master events calendar and budget; capture photos/video/content for social media and PR; track attendance, leads, costs, and feedback; propose improvements.

Title:Marketing Assistant & Event Coordinator

Compensation:$26.00 - $31.00/hour, based on experience.

What We Are Looking For

We're growing our in-house marketing team and looking for a highly organized, people-first coordinator. This person will keep our marketing operations running smoothly and bring NOCO to life for both our community and our employees. The role is split roughly [60/40] between marketing administration and event coordination. You'll handle media buy paperwork and invoice tracking one day, set up a booth at the county fair the next, and help plan an employee appreciation event the week after. If you enjoy variety, details, and bringing people together, this role is for you.

What You Will Do

Marketing Administration

  • Support the team's in-house marketing operations. This includes tracking radio, TV, print, and digital buys, and reconciling invoices against media schedules.
  • Manage marketing purchase orders and vendor billing, and flag discrepancies before they become problems.
  • Maintain campaign calendars, project timelines, and asset libraries. Coordinate approvals and deadlines with internal teams and outside creative partners.
  • Enter and maintain campaign and lead-source codes in ServiceTitan and other systems so marketing results can be tracked accurately.
  • Order and manage inventory of branded merchandise, printed collateral, and promotional materials.
  • Prepare meeting notes, reports, and general administrative support for the marketing department.

External Events

  • Plan and execute NOCO's community and customer events, which include county and regional fairs, sponsorship activations, open houses, prospect events, and fundraisers.
  • Handle event logistics from start to finish: registrations, vendor and venue coordination, permits, booth setup and breakdown, staffing schedules, and supplies.
  • Coordinate with sales and service teams, including the fuels, residential, and commercial teams, so events generate qualified leads and follow-up.

Internal Events

  • Plan and coordinate employee events such as company meetings, town halls, appreciation events, and product launches.
  • Support culture initiatives, including The NOCO Way and We Start With Yes, through events and activities that bring employees together across divisions and locations.
  • Coordinate logistics for leadership meetings, and team outings, including catering, venues, AV, and materials.

All Events

  • Manage a master events calendar and budget, balancing internal and external priorities.
  • Capture photos, video, and content for social media, PR, and internal communications.
  • Track results (attendance, leads, costs, employee feedback) and recommend improvements.

  • Knowledge of Western New York communities, including rural areas.
