Job summary

About the Role

This position provides operations assistance to the marine personnel and operations departments on an as needed basis including recruiting, scheduling, crew travel, expense reimbursements, coordinating and tracking mariner licensing and training, assisting mariners with licensing renewals, and mariner payroll/ time-entry. Reviews validity of all time-entry relative to union agreements works closely with Labor Relations and Payroll. Uses discretional decision-making authority to solve day-to-day problems associated with managing all aspects of Marine Personal.

Essential Functions
Time-keeping for Marine Personnel
  • Reviews validity of all wages relative to union agreements, including daily wages, hourly overtime, sick leave, short-term disability and vacation pay.
  • Inputs and/or reviews data in on-line payroll system for all wages paid.
  • Coordinates special payroll situations between marine personnel and accounting department.
  • Prepare payroll and timekeeping data for the payroll department including paid and unpaid time off and pay adjustments. Assist with payroll changes and notifications.
  • Provide HR Reporting on a set cadence for overtime, PTO (paid time off) and labor cost.
Recruiting, Crewing and Scheduling
  • Assist Marine Personnel Managers and Operations to deliver a seamless and positive recruiting experience for all candidates. Participate in virtual or onsite interviews as needed.
  • Understand and comply with Affi… EEO, Non-Discrimination, Harassment and all other HR policies and procedures.
  • Assist in scheduling pre-employment physicals and drug testing.
  • Assist in all onboarding activities in HRIS and in-person is processed timely and accurately, including new hire paperwork, I-9 and E-Verify in compliance with regulatory agencies.
  • Coordinate employee leaves of absences with HR to ensure compliance with federal and state regulations and collective bargaining agreement provisions.
  • Assist in managing union head count to avoid additional costs due to guaranteed wage rule.
  • Support implementation of labor contracts including grievance resolutions.
  • Assists in managing union seniority lists
  • Performs special duties and other projects as assigned.
  • Adheres to all company policies.
  • Accomplishes all tasks as appropriately assigned or requested.
Other Marine Operations Duties
  • Create purchase requisitions and reconcile invoices with Accounts Payable through SAP and Esker systems.
  • Manges Marine Personnel recognition and rewards programs
  • Manges company gym membership program
  • Conduct vessel visitations on a regular basis to interact with crews for the purpose of enhancing office to vessel communication in addition to identification of any personnel issues that require resolution.
  • Develops a functional and technical knowledge base of marine operation activities of the region through learning, experience and observation.
Knowledge, Skills and Abilities
  • A strong maritime background is desired.
  • Must understand the individual roles, interactions and responsibilities of crewmembers manning the vessels.
  • English language necessary for oral, written and phone communications.
  • Basic math skills for calculations involving payroll.
  • Legal, with regard to EEO -- hiring and discipline. Knowledge of general human resources functions and applicable regulations is preferable.
  • Strong computer skills, Windows, Word, Excel, Outlook, etc.
  • Experience with time-entry in ADP is preferred
  • General knowledge of various office machines
  • Ability to build and maintain effective working relationships.
  • Ability to tactfully interact with a wide range of personalities.
  • Ability to organize workload and prioritize projects in an ever-changing environment.
  • Ability to work under pressure.
  • Must be able to gain an intimate familiarity with company lines of business.
  • Must be able to establish a good working relationship with Payroll and Human Resources.
  • Must be able to use discretionary decision-making authority to solve day-to-day problems associated with managing various resources.
  • Ability to demonstrate high ethical standards of honesty and integrity to lead by example.
Minimum Qualifications

This position requires a three years related experience and/or training; or equivalent combination of education and experience. Preference given to those with related experience in the maritime industry.

Compensation

Pay for this position will be between $29.81 and $44.72 hourly with final compensation determined by the candidate’s relevant experience, skills, and overall qualifications. This is a non-exempt position that is eligible for overtime.

  • Vacation - Foss appreciates how hard employees work and recognizes the importance of providing time for rest and relaxation. In this position you will accrue 10 days of vacation a year with a maximum accrual of 160 hours. Accrued vacation will be vested and available for use after successfully completing six (6) months of service.
  • Nine (9) paid holidays with two (2) additional floating holidays available after six (6) months of service.
  • Full time employees will accrue ninety-six (96) hours of sick leave per year, up to a maximum of 1,040 hours.
  • Bereavement Leave - three (3) paid days off for a death in the immediate family, or five (5) days off if travel greater than 500 miles is required.
  • Tuition reimbursement.
  • All other benefits as required by state law.
