This position is located in Hamilton, Washington State.
Department Summary:
A Manufacturing Operations Administrator is a key operational support role that ensures smooth, compliant, and efficient manufacturing processes directly supporting the Executive Vice President of Operations at Janicki. This individual bridges the gap between production floor activities and executive reporting oversight, contributing to cost control, quality assurance, schedule adherence, and regulatory compliance. The role requires strong operational judgement, technical awareness, and exceptional organisational skills within a complex manufacturing environment.
- Supports the EVP by organising operational priorities, coordinating technical information, and ensuring timely communication between engineering, operations, planning, and production teams.
- Prepares agendas, schedules operational meetings, gathers required technical materials, and ensures participants are fully informed.
- Acts as a central point of contact for operational communications; drafts and routes correspondence related to production status, compliance needs, and programme requirements.
- Organises and prepares materials for production reviews, operational meetings, and cross‑functional coordination; tracks action items and ensures timely follow‑up.
- Prepares, maintains, and processes production documentation including work orders, compliance records, technical packets and reporting summaries.
- Supports production workflows by coordinating document approvals, reviewing process documentation for accuracy, and ensuring timely flow of information.
- Maintains accurate records of production metrics, downtime, throughput and performance indicators; presents updates to management as required.
- Works directly with engineering, operations, Human Resources, Maintenance, Quality Assurance and Materials Management to resolve operational issues and clarify requirements.
- Coordinates with supervisors and production operators; assists with identifying training needs and implementing basic training programmes.
- Uses SAP, S4HANA, or other ERP systems to support scheduling, inventory control, resource planning and operational reporting to leadership.
- Assists with operational projects, compliance‑related tasks, and process improvements that enhance workflow efficiency and reduce cost.
- Completes assignments provided by VPs, Directors, Programme Managers and Project Managers that support production and operational execution.
- Performs other duties as assigned.
- Regular, reliable attendance is an essential function of this position.
- Coordinates complex operational schedules and production‑related activities across multiple programmes; proactively resolves conflicts and anticipates next steps.
- Serves as a trusted operational liaison for the EVP; handles sensitive manufacturing information with discretion and professionalism.
- Leads or supports cross‑functional operational meetings, production readiness reviews and technical coordination sessions.
- Identifies and implements improvements to documentation workflows, communication channels and operational processes.
- Partners closely with engineering, operations, manufacturing and planning teams to understand technical conversations, interpret manufacturing requirements and ensure accurate follow‑through.
- Utilises ERP tools to enhance visibility into production status, inventory, resourcing and operational performance.
- Mentors administrative staff and guides manufacturing documentation, operational standards and best practices.
- Demonstrates strong problem‑solving, judgement and strategic thinking when supporting manufacturing and production leadership. This position requires the ability to obtain a U.S. Secret Security Clearance (U.S. Citizenship Required). Janicki will assist with gaining this access once employed. Special Access Programme or other Government Access Requirements are mandatory for this position and require candidates to agree to enter a Continuous Evaluation programme.
Basic Qualifications:
- Bachelor’s degree in Engineering, Manufacturing, Business or related technical discipline preferred.
- Associate degree or two‑year technical degree valued.
- High School diploma or equivalent required.
- Equivalent experience in manufacturing operations, engineering support or technical administrative roles will be considered.
- 5+ years of technical administrative support or operations coordination preferred; experience in manufacturing/engineering environments strongly preferred.
- Strong understanding of manufacturing processes and production methods.
- Proficiency in production planning, scheduling and inventory control.
- Knowledge of quality control standards and safety regulations.
- Familiarity with SAP, S4HANA or other ERP/manufacturing management software.
- Excellent organisational and time‑management skills.
- Ability to communicate effectively with technical and non‑technical staff.
- Proficiency in Microsoft Office Suite and Teams.
- Demonstrated ability to quickly learn and interpret technical information and support leadership in a fast‑paced environment.

Wage range for this role is between$83,000 - $92,000 , plus a discretionary bonus, 401(k) matching, vacation and health benefits. Employees can also receive additional pay for off‑shifts, off‑site work and access pay. The range provided is Janicki’s estimate of the base compensation for this role. Actual amount offered will be based on job‑related and non‑discriminatory factors such as experience, location, education, training, skills and abilities
