Overview
McGuireWoods is seeking to hire a Revenue Cycle Manager to join the firm in our Richmond, VA office, offering the right individual an opportunity to step into a value-generating position. The Revenue Cycle Manager will be a leader responsible for delivering timely and actionable insights, driving the efficient conversion of work in progress (WIP) and accounts receivable (AR) into cash, and maintaining comprehensive visibility over capped matters to prevent budget overruns. This individual collaborates effectively with various stakeholders to share current data within the firm’s billing and financial systems and promotes timely action. The role also focuses on preventing work and cost overruns through proactive intervention as matters approach predetermined completion parameters. Key responsibilities include producing, researching, and analyzing WIP and AR reports, as well as partnering with billing and collections teams to identify situations requiring escalation to the Department Chair or Deputy Managing Partner (DMP) to expedite revenue conversion or address aging inventory before it becomes difficult to bill or collect.

This position works closely with the Billing and Collections teams, Practice Managers, DMPs, and Department Chairs to streamline workflows, provide guidance on complex billing matters, and support strategic initiatives. Through strong operational oversight, the Manager helps enhance efficiency, accelerate collections, and improve overall financial performance.

Responsibilities
Operational Leadership
  • Collaborate with Client Responsible Attorneys (CRAs) and Practice Managers to ensure they have access to the most current WIP and AR information. Conduct regular meetings to update them on matters approaching critical aging thresholds and drive appropriate action before inventory becomes stale.
  • Establish regular check-ins to track progress on agreed-upon actions and follow up on outstanding items requiring attention.
  • Compile and present information to Department Chairs and DMPs, engaging their support when escalation is necessary.
  • Develop and implement a reporting mechanism to flag matters approaching predetermined completion thresholds. Use these reports to intervene proactively with CRAs and prevent work efforts from exceeding key parameters that could result in future write-downs.
  • Work collaboratively with attorneys and practice managers, leveraging strong relationships and persuasive communication as circumstances require, to build consensus on measures that improve both short-term and long-term billing attorney practice management.
  • Monitor billing cycles to ensure compliance with client requirements, deadlines, and firm policies. When client requirements are unavailable, coordinate with the CRA or Practice Manager to locate the applicable engagement letters.
  • Prepare and distribute a bi-weekly report summarizing the current status of WIP and AR, highlighting areas of concern as appropriate.
  • Foster a broader awareness of the importance of timely billing and collection across the firm. (“Cash is not just a CFO priority—it is everyone’s responsibility.”)
Billing and Collections Support
  • Serve as a point of escalation for complex or sensitive billing matters, working with attorneys, finance teams, and clients to resolve issues efficiently.
  • Review exception reporting and proactively identify data inconsistencies or process gaps.
  • Conduct research and analysis on WIP and AR at the request of various stakeholders.
  • Provide ad hoc support for other billing and collections projects as needed.
Process & Workflow Improvement
  • Support initiatives aimed at improving billing processes and driving operational efficiency.
  • Promote best practices for billing setup, documentation, and internal controls.
  • Identify opportunities for automation and system enhancements that support firm-wide financial objectives.
Cross-Functional Collaboration
  • Build and maintain trusted partnerships with attorneys, Practice Managers, Billing and Collections teams, and executive leadership.
  • Provide insights and support for firm-wide financial reporting and business analysis.
Qualifications
  • Bachelor’s degree in Finance, Accounting, or Business Administration.
  • Five or more years of experience in legal billing, financial operations, or revenue management; professional service experience preferred.
  • Two or more years of supervisory or team leadership experience.
  • Strong knowledge of billing systems and emerging trends in automated billing, cash matching, and artificial intelligence.
  • Solid background in billing and collections processes.
  • Excellent communication, stakeholder management, and relationship-building skills, with the ability to develop strong working relationships and advocate effectively when necessary.
  • Proactive approach to anticipating issues before they arise and engaging stakeholders to formulate appropriate next steps.
  • Comfortable working with senior leadership and skilled at building productive working relationships at all levels.
  • Ability to lead teams in a fast-paced environment with shifting priorities.
