TheHospital Services Manager position involves overseeing the management of staff, resources, and procedures essential for daily operations concerning processed blood products, encompassing labeling, storage, packaging, inventory control, and distribution. Additionally, it includes managing resources and processes associated with the transportation of samples and unprocessed blood products between locations (if Applicable). Collaboration with other departmental managers is crucial to ensure the smooth and efficient delivery of services and products to customers and patients. This position is considered “essential” during severe weather or emergency operation events.

  • Personnel Recruitment and Management
    • Monitor and mentor team performances and provide constructive feedback.

    • Maintains a technically superior department through ongoing training and development of department employees.

    • Performs periodic employee performance reviews and ongoing coaching.

    • Develop Performance Improvement Plans and facilitate disciplinary action as needed. Conduct interviews and make final recommendations for hiring, terminating, promoting, and reassigning staff.

  • Regulatory & Quality Assurance Management
    • Responsible for Standard Operating Procedure revision via eQMS (electronic Quality Management System) as well as new SOP creation and implementation. (if Applicable).
    • Administer policies and procedures to ensure an efficient and profitable operation that conforms to specified regulations.
    • Writing and answering problem reports in the Deviation Management System; working with QRA to establish corrective and preventative actions, and effectiveness checks on the solutions presented.
    • Develops a system of error prevention/reduction in product distribution through staff involvement and the setting up of a monitoring system to measure overall performance.
    • Overseeing radiation safety and security requirements, including maintaining up-to-date preventive maintenance records.
    • Providing assistance to the Director during internal and external audits, as well as responding to audit findings.
    • Preparing and presenting reports on Quality Assurance activities within the department.
    • Ensure compliance with all policies, procedures, regulations, and guidelines.
    • Responsible for Standard Operating Procedure revision via eQMS (electronic Quality Management System) as well as new SOP creation and implementation.
    • Review corrective actions that will effectively change a process to determine if it is the best means of prevention.
  • External Customer Engagement and Support (as Applicable)
    • Evaluation and follow up of Customer Service reports/complaints
    • Inventory/order reviews and evaluation
    • Blood type review
      • Turnaround time on orders
      • Daily communication as needed
    • Attend Quarterly Business Review Meetings to discuss how Hospital Services reacted to the needs of the customer during the previous quarter; review any issues that have occurred, how they were resolved and how they will be avoided in the future.
    • Ensure timely responsiveness of orders submitted, proper handling of unprocessed products, finished goods, sample transport, deliveries, and pick-ups.

  • Strategy and Leadership
    • Partner with enterprise to manage inventory and distribution to minimize loss.
    • Execute the enterprise-wide inventory action plan to minimize any potential shortage situations and ensure movement of product throughout the organization based on needs and product expiration data.
    • Assist with the development and implementation of systems to minimize outdating of blood products inventory.
    • Monitoring the alarm control center and responding to alarms, collaborating with facilities to troubleshoot equipment.
    • Manages driver staff scheduling, delivery routes, and donor center pick-up routes (as Applicable).
      • Efficiently manage vehicle performance and driver optimization while coordinating maintenance activities with appropriate departments and vendors.
    • Assist with budget preparation and cost center management
    • Work with collections and warehousing to ensure the delivery and replenishment of collections supplies at fixed sites. (as Applicable)
    • Monitors and improves daily operations by coordinating areas to minimize total costs and increase overall efficiency in serving hospitals and other divisions.
    • Support department forecasting and planning activities.
  • Research Products (as Applicable)
    • Collaborating with research customers and staff to ensure timely product distribution.
    • Manages the storage and product distribution of Derivatives program.
    • Managing relationships with medical entities involving blood products for research.
    • Exploring new products and service lines to enhance the program and benefit research customers.
    • Setting pricing based on cost/benefit analysis.
    • Developing and implementing sales strategies to optimize distribution of non-transfusable, recovered, and/or research blood components and byproducts.
    • Maximizing sales and minimizing wastage of viable components.
    • Managing contract information for committed customers and seeking opportunities to expand contract relationships.
    • Collaborating with relevant departments to ensure the success of the Research Program.
  • Communication & Employee Engagement
    • Act as a liaison between NYBCe management and its internal and external customers to provide quality service and maintain excellent customer relations and open lines of communication between departments.
    • Keeps HS Leadership regularly informed on quality, process, workflow, or employee issues.

      • Ensure that the irradiation equipment is in proper working order and document all maintenance and repair performed on equipment.
    • May perform tasks related to Director/Supervisor – Hospital Services.
    • Any related duties as assigned.
Qualifications
  • Bachelor’s Degree in Business Administration or related field or equivalent.
  • 5+ years of experience in Inventory or Distribution or in a Manufacturing or Healthcare setting.
  • 2+ years of team management or leadership duties.
  • Valid Driver’s License with an acceptable driving record.
  • Any combination of education, training and experience equivalent to the requirements listed above that has supplied the necessary knowledge, skills, and experience to perform the essential functions of the job.

Knowledge:

  • Working knowledge of BECS systems.
  • Working knowledge of medical and laboratory terminologies as they apply to product inventory and hospital needs.
  • Knowledge of a variety of software applications (Microsoft Office Suite).
