Job summary

Responsibilities

  • Work with Tournament Director/Senior Director on vendor identification, negotiations and site plan.
  • Coordinate all vendor contracts for event operations and ancillary events.
  • Collaborate with vendors on temporary structures and branding per site plan.
  • Ensure fulfillment of partner contracts and support of volunteers.
  • Actively manage an extensive operations budget.
  • Establish health & safety plan with local stakeholders and security partners.
  • Develop sustainability initiatives in line with sponsors and organizers.
  • Plan with city/county/state officials on permits and approvals.
  • Support office administration and risk management as needed.

Key Responsibilities and Accountabilities

  • Engage in the strategic development of short and long range site build plans with the goal of delivering best in class experiences for all stakeholders from fans to sponsors to club members to players to media, etc.

  • Exceptional coordination with host site staff for optimal team alignment and delivery.

  • Manage and communicate operational timeline that includes detailed set-up and tear-down schedules.

  • Work with Tournament Director and/or Senior Director, Events on vendor identification, negotiations, contracting and overall site plan to insure first-class presentation for the operation of event

  • Coordinate all vendor contracts for the operation of the event and ancillary events which take place in market

  • Collaborate with vendors to design and oversee the temporary structures build working in conjunction with tournament property to ensure compliance within onsite restrictions and to implement tournament branding and signage plan

  • Work closely with IMG commercial team, LPGA and tournament staff to insure operational fulfillment of corporate partner contracts and operational support of volunteer activities

  • Actively manage an extensive operations budget

  • Establish and execute a leading health & safety plan and collaborate with key local stakeholders, from security contractors to local police, fire and rescue personnel, to deliver successfully.

  • Work directly with local and state level law enforcement as well as event security partner to ensure smooth execution of event security plan

  • Develop and implement impactful sustainability (and/or other) initiatives to align with IMG, LPGA, and title sponsor interests/requirements

  • Work with City/County/ State Officials and Agencies in planning and permitting event.

  • Manage office administration including office utilities, supplies and equipment.

  • Manage insurance, first aid, risk management and ensure the event meets ADA minimums.

  • Support efforts of other IMG Events by assisting with Operational planning as assigned.

  • Participate in special projects and other related duties/projects as reasonably assigned

Unusual Challenges or Circumstances
  • Extended hours during the production and delivery of each event, including weekend and holiday hours

  • Engagement with teams in multiple time zones

  • Outdoor events, with pre-planning and execution phases in potentially volatile temperatures and weather conditions

Essential Job Knowledge and Competencies
  • Bachelor’s Degree in a related field required

  • 4+ years of hands‑on event management experience, with proven success

  • Experience working across a combination of strategic, logistical and tactical projects

  • Experience with the creation and delivery of detailed operational planning projects and timelines

  • Proven success in managing partner relationships including vendors, suppliers and community partners

  • Strong communication, presentation and influencing skills

  • Attention to detail; ability to manage multiple tasks simultaneously and produce high quality work

  • Ability to work non-traditional hours and weekends; ability to travel

  • Proficiency with office and relevant operational softwares

  • Collaborative in nature with a "no job is too small" attitude

  • Experience with AutoCAD or other drafting and modelling softwares for tournament layouts a plus
