Job summary

National Trust is seeking an experienced executive assistant to support the Chief Development Officer in Washington, DC. The role focuses on calendar and travel management, prioritizing tasks, and coordinating fundraising visit logistics.

The position requires strong written and verbal communication, exceptional organization, and the ability to collaborate across departments with donors and trustees. Proficiency in CRM and MS Office is essential.

Qualifications

  • At least five years of experience in a professional setting, preferably in a matrixed and geographically dispersed nonprofit; development office experience is highly preferred.
  • Excellent verbal and written communication skills, including writing, editing, and preparing high-quality presentation materials.
  • Strong interpersonal and customer service skills, with a proven ability to collaborate across departments and build productive relationships with diverse stakeholders.
  • Bilingual skills a plus.
  • Strong data management skills, including accurate record keeping and experience with CRM or donor database systems.
  • Strong organizational, analytical, and problem-solving skills with excellent attention to detail.
  • Intermediate to advanced proficiency in Microsoft Word, Excel, and PowerPoint, and in Outlook for high-level scheduling and calendar management, with an aptitude for learning new technology, and experience with a CRM.

Responsibilities

  • Manages the CDO's calendar, travel schedule, and daily workflow; helps prioritize tasks based on Division and organizational needs; and coordinates the strategy and logistics of fundraising visits.
  • Ensures communications from the CDO are timely, clear, and responsive, and that stakeholders across the National Trust receive information and decisions needed to move projects forward.
  • Meets weekly with the CDO to prepare for upcoming meetings and priorities, builds preparation time into the calendar, and tracks project follow-up across Development Division staff.
  • Drafts and edits written materials—talking points, memos, presentations, formal letters, and Board of Trustees materials such as agendas, minutes, and pre-reads—including research and fact-finding.
  • Collaborates with the CDO to meet deadlines for the Advancement Committee and other Board work.
  • Helps the CDO maintain relationships with Trustees, donors, prospects, and other high-level contacts, tracking events and milestones that warrant communications, visits, or targeted gifts.
  • Serves as the chief administrative liaison to the Office of the President/CEO and the offices of other division chiefs; tracks and manages the CDO Office annual budget; and helps ensure Development Division staff meet annual planning and financial deadlines.
  • Organizes Development Division meetings, Management Team meetings, strategic retreats, and events—including scheduling, agendas and content, venue selection, contracting, catering, audio/visual setup, and follow-up.
  • Drafts content for Sightlines, the Trust-wide internal newsletter, to share Development Division news, events, and updates across the organization.
