Columbia Basin Health Association (CBHA) in Washington state seeks a Clinic Operations Manager to supervise day-to-day operations with a focus on patient flow from pre-admission through checkout and on achieving operational excellence.
You will lead Medical Assistants, coordinate staff training, manage staffing, and partner with leadership to improve processes, quality initiatives, and the revenue cycle while ensuring compliant, high-quality patient care.
Responsible for managing, supervising and coordinating the day-to-day operations at the Clinic with focus on operational excellence and patient flow from pre-admission through registration and checkout.

Description of Primary Responsibilities:
1. Responsible for supervising the job duties of Medical Assistants:
a. Provides relevant training to ensure that proper staffing levels are maintained for Registered Medical Assistants and Certified Medical Assistants. b. Coordinates orientation for new nursing personnel c. Provides evaluation forms for assessing staff performance d. Maintains, tracks and analyzes ongoing educational records of nursing staff and reports within the departmente. Develops staff in-service training sessions
2. Responsible for developing, implementing, and evaluating methods to ensure effectiveness and efficiency of staff performance and the clinic’s utilization of facilities, equipment, and other resources:
a. Manages patient complaints in a respectful, professional, and timely manner.b. Oversees the ordering of medical and office supplies.c. Investigates and resolves complaints or refers unusual problems to the Director of Operationsd. Participates in infection control, utilization review, case management, and quality assessment activities and analysis.e. Works with Clinic Managers to address facilities management needs.
3. Responsible for development, maintenance, and revision of nursing policy and procedures to ensure the best possible patient care
a. Conducts and revises nursing policies annually b. Interprets and enforces department and institution policies
4. Responsible for support of the revenue cycle:
a. Works with the Clinic Managers and Billing Department to identify and eliminate insurance denials involving medical assistants. b. Engages in process improvement initiatives designed to increase net operating margin.
5. Supports the Quality Department to achieve Performance Improvement objectives:
a. Develops and implements quality assurance activities with support staffb. Supports and assists in efforts to assist support staff achieve PCMH certificationsc. Supports and assists in efforts to achieve Meaningful Use requirementsd. Supports and assists in efforts for process improvements to retain Joint Commission accreditation
6. Staff Management:
a. Fulfill supervisory responsibilities for the Medical Assistants including hiring, performance evaluations, training, coaching, etc.b. Assures development and contribution of staff through effective training, directing and performance management ensuring a high level of technical/organizational skillsc. Provides a desirable work environment within the department to ensure a high level of morale and job satisfaction with minimal turnover.
Professional and Technical Knowledge:
1. Possesses advanced level general skills, including written and verbal communications skills, computational and computer skills, and mathematical knowledge frequently acquired through completion of Bachelor’s Degree program. .2. Possesses general level knowledge/experience in the areas of clinic management, patient navigation, and healthcare call center operations.3. Applicable training and experience may be substituted for formal education, depending on the nature and duration.
Technical Skills:
1. Ability to prepare more complex documents in Microsoft Word, including creating tables, charts, graphs and other elements. 2. Ability to use Microsoft Excel to analyze data, including the use of formulas, functions, lookup tables and other standard spreadsheet elements.3. Demonstrates proficiency in the use of Microsoft Access. 4. Possesses working knowledge of standard office equipment.
Communication Skills:
1. Responsible for effectively communicating basic or non-technical information to co-workers and others2. Responsible for the resolution of conflicts that may arise because of disagreements between employees or between employees and patients.3. Job duties require the compilation and analysis of information in effective written form, including correspondence, reports, articles or other documentation.4. Job duties require the effective communication of information during informal and formal verbal presentations5. Bi-lingual (English/Spanish) preferred but not required.
