Job summary

ADP, Inc. in Aguadilla, PR, is seeking a Maintenance Planner to proactively develop, coordinate, and manage aircraft maintenance planning and job card activities. You will ensure accurate estimation of man-hours, materials, and TAT, while aligning with contracted work and available capacity.

You will act as the main point of contact for customers, PED, Production, Quality, and other departments, driving KPI monitoring, process improvements, and on-time project preparation and execution.

Qualifications

• Bachelor’s degree in Aircraft Engineering or a relevant field is required.
• Minimum two years of experience in aircraft maintenance/design/manufacturing environments is expected.
• Professional training in aircraft maintenance with at least three years of related experience is preferred.

Responsibilities

• Coordinate all aircraft maintenance planning processes, including estimation of man-hours, materials, tools, and turnaround time.
• Evaluate customer work packages and maintenance data needs in detail.
• Forecast defects and identify critical tasks and routine removals for planning efficiency.
• Prepare loading for manpower, capacity plans, and milestone schedules.
• Develop and prepare routine and incoming job cards, including EO/SB cards, and raise defects from logs.
• Ensure customer requirements are reflected in proposals and quotations for mini-projects and layovers.
• Serve as single point of contact for planning, quotation, and job card activities with customers and internal teams.
• Clarify scope changes and new requests, presenting work scope to Production.
• Maintain detailed schedules for maintenance activities and re-plan as needed within SLAs.
• Track progress, man-hour consumption, budget adherence, and KPIs; prepare reports.

Description of the position

Proactively develop, coordinate, and manage comprehensive aircraft maintenance planning and job card activities, ensuring all maintenance layovers are accurately estimated, prepared, and executed in alignment with contracted work, available capacity, and required documentation. Acting as the single point of contact for customers, Production, Planning & Engineering Department (PED), and all relevant departments. This role is dedicated to supporting the continuous improvement of project preparation and execution by closely monitoring and analyzing planned vs actual performance, collaborating with production teams to establish and enhance Key Performance Indicators (KPIs).

Maintenance Planning & Project Preparation

• Perform all aircraft maintenance planning processes, including accurate estimation of man‑hours, materials, tools, special equipment, and turn‑around time (TAT).
• Conduct detailed evaluation of customer work packages, including engineering orders, component changes, deferred defects, NDT and special tasks, tooling requirements, and maintenance data needs.
• Forecast defects and identify CDCCL, AD, CPCP, critical tasks, duplicate inspections, and routine component removals.
• Prepare man‑hour loading, capacity plans, milestone schedules, critical paths, and target settings for the maintenance organization.
• Develop, customize, revise, and prepare routine and incoming job cards, including EO/SB cards, and raise defects from Tech Log, Cabin Log, and DBC.
• Ensure customer requirements are fully reflected in commercial proposals and quotations for mini‑projects, special layovers, and CAS sign‑offs.

Coordination & Communication

• Serve as the single point of contact for planning, quotation, and job card activities, coordinating between customers, Production, PED, Quality, and all project stakeholders.
• Clarify technical issues, work scope changes, and new customer requests, present work scope to Production.
• Coordinate pre‑and post‑arrival, ensuring timely transfer of complete work documentation to Production.
• Participate in Calc Reviews, Kick‑off, Wash‑up meetings, program reviews, pre‑input meetings, and customer briefings.

Execution, Monitoring & Reporting

• Coordinate and maintain the detailed schedule for all maintenance activities, including inspections, modifications, and special tasks.
• Plan and re‑plan maintenance layovers in line with agreed Service Levels and capacity constraints.
• Track project progress, man‑hour consumption, TAT, budget adherence, and KPIs; prepare progress and post‑layover reports.
• Implement customer‑specific requirements such as TPM/JPM into planning and job card processes.
• Coordinate prioritization with Production for critical defects and ensure aligned execution across departments.
• Modify, add, or cancel job cards as required during the layover and certify Planning Statements for accurate Bill of Work updates.
• Interpret and translate Customer/OEM technical documentation into accurate job cards.
• Provide technical and engineering support to Supervisors and maintenance technicians.
• Check documentation quality, ensure regulatory compliance, and support customer and quality audits.
• Consult on slot allocation, capability details, and routine working‑party requirements.

Quality & Continuous Improvement

• Ensure FAA Part 145 compliance and adherence to RSQCM, IQ MOVE, and training program requirements
• Analyze historical and post‑check performance data; adjust planning and quotation parameters accordingly.
• Identify process inefficiencies, propose improvements, and support harmonization of procedures with Production and PED.
• Maintain and update CRI data; provide feedback on planning package quality.
• Contribute input to PED reporting systems and long‑term optimization of layover planning processes.
• Enable timely, efficient, and cost-effective completion of aircraft maintenance and repair projects, while driving ongoing process optimization and ensuring customer satisfaction.

Education, Skills and Competencies

• Bachelor’s degree in Aircraft Engineering or in relevant engineering field
• Minimum of two (2) years of experience in aircraft maintenance/design/manufacturing environment
• Professional training in aircraft maintenance with a minimum of three years of experience in aircraft maintenance / design / manufacturing environment
• Holder of a company authorization (if applicable) or relevant experience to enable faster acceptance of authorization
• Good understanding of creation and control of customer maintenance programs and MPD
• General familiarization course for at least two of the aircraft types maintained in the facility primarily stationed.
• Excellent knowledge of aircraft documentation, strong understanding of airworthiness, FAA requirements andaviation regulations, industry standards, and best practices for aircraft maintenance
• Ability to interpret Customer & OEM technical documentation.
• Proficient in Microsoft Office; experience with SAP/mJobCard advantageous.
• Fluent in English (both written and spoken)
