Job summary

Heatherwood is seeking a Maintenance Manager to lead maintenance operations for upscale residential and mixed-use properties in New York. You will manage a team, coordinate with vendors and engineers, and ensure safety and quality standards across all sites.

Responsibilities include budgeting, scheduling, and training while maintaining strong communication with the Community Manager and property staff. A proactive, detail-oriented leader is essential for success in a fast-paced environment.

Qualifications

• 5+ years in a supervisory role in multifamily, commercial or hotel maintenance.
• Proven track record managing maintenance staff and vendors.
• Experience coordinating 3rd party porter, concierge, and doorman services.
• Ability to lead with safety, integrity and strong time management.

Responsibilities and Duties

• Apply a "Safety First" approach to everyday at Heatherwood.
• Maintain the properties interior and exterior standards.
• Openness and approachability to feedback and consistent communication with your team and management
• Support NYC Local Law Compliance through strong understanding of the requirements, vendor management and strong collaboration with 3rd party engineers.
• Advanced understanding and experience with the following mechanical systems, but not limited to (different types of HVAC equipment, plumbing (boilers, water heaters, drain clearing, fixture replacement), electrical repair and troubleshooting, appliance repair, painting and carpentry.
• Ability to use multiple building and property management applications and software including or similar functionality to; Yardi, SuiteSpot, and Microsoft Outlook, Word, and Excel
• Manage the day-to-day maintenance expenses of the community, including all bill payment, purchasing, capex invoicing and offsetting unbudgeted expenses.
• Advanced knowledge of high-rise mechanical systems including fire and life safety systems, BMS, boiler systems, water pumps, cooling towers and elevator systems
• Train and develop maintenance technicians on both technical and administrative skill sets to support growth.
• Ensure Heatherwood's standards and core values are consistently met.
• Strong managerial approach to general building maintenance, capital improvement projects, work order management systems and the apartment make ready process.
• Ability to effectively troubleshoot and problem solve maintenance issues in a fast-paced setting.
• Performance management of all maintenance associates Includes recognition, performance improvement plans, development, annual reviews and verbal/written corrective action.
• Shared responsibility of "On-Call" schedule with your property and other Heatherwood properties
• Ability to learn or oversee a Sewer Treatment Plant and Swimming Pools where applicable.
• Job responsibility requires standing for extended periods, walking, pushing, lifting up to 50 pounds, bending and reaching, kneeling, stooping, crawling, and climbing.

• Strong vendor management experience includes communicating schedules, providing materials, project execution and vendor accountability.
• Advanced understanding of computer and smart phone skills Have experience managing a work order system, purchasing and budget management.
• Balance between field and administrative workload
• Strong routines on bill payment, budget variance knowledge and timely budget spend.
• Safe understanding of hand/power tools/mechanical systems and use of PPE
• Flexibility to respond to emergency issues after hours and on weekends.
• Attention to detail and consistently doing the job right the first time.
• Universal HVAC Refrigerant Certificate, Certificate of Fitness, low pressure boiler license, CPO Certificate
• Valid driver's license
