Job summary

Seaboard in Honolulu, HI is seeking an Administrative Assistant to provide daily support to the team, prepare confidential reports, manage calendars, and coordinate meetings.

Responsibilities

  • Develop and maintain records for supervisors and superintendents to ensure regulatory report compliance.
  • Provide daily support, including ad hoc reports, presentations, and confidential materials.
  • Ensure proper filing for PPE Audits and Hot Work Permits.
  • Maintain the manning sheet and distribute weekly updates to management.
  • Compile and update internal reports; revise as necessary.
  • Maintain records aligned with Records Retention Policy and secure files daily.
  • Develop attendance metrics charts for hourly staff and send weekly reports.
  • Answer and screen telephone calls; take messages.
  • Order and manage office supplies to maintain availability.
  • Assist supervisors with calendars and external calls; coordinate meetings.
  • Perform projects assigned by the Director and build cross-level relationships.
  • Schedule appointments and travel; prepare correspondence as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Develop and maintain records for supervisors and superintendents to ensure compliance of regulatory reports.
  • Provide daily support to the team including preparation of various ad hoc business reports, presentations, and materials requiring a high level of confidentiality.
  • Ensure proper filing for PPE Audits and Hot Work Permits.
  • Maintain the manning sheet up-to-date at all times and distribute weekly updates of the manning report to all management in maintenance.
  • Compile ongoing internal reports and revise and update them as necessary.
  • Maintain records and files in accordance with the Records Retention Policy, ensuring files are locked at all times and updated daily.
  • Develop and manage attendance metrics charts for hourly maintenance staff and send weekly reports to management; maintain accurate and up-to-date information for the hourly and management PTO calendar and distribute weekly.
  • Answer telephone calls, screen calls, and take messages.
  • Ensure proper supply of office needs is ordered and maintained.
  • Assist supervisors in managing calendars and handling external callers in a sensitive manner.
  • Coordinate meeting logistics.
  • Perform projects assigned by the Director.
  • Develop collaborative relationships with leaders at all levels built on mutual trust.
  • Schedule appointments and travel arrangements.
  • Prepare correspondence as needed.
QUALIFICATION REQUIREMENTS
  • High school diploma or GED is required. Experience in food manufacturing is desired.
  • Must have excellent written and verbal communication skills.
  • Ability to read and interpret documents in English such as applications, training materials and procedure manuals; bilingual skills are a plus.
  • Ability to apply mathematical applications to practical situations.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions; ability to interpret an extensive variety of technical instructions in mathematical, diagram, written, and/or verbal form and deal with several abstract and concrete variables.
  • Ability to use computers and all standard programs used by the industry and to learn and effectively use any additional computer programs that are made available. Strong personal computer skills and understanding of recruiting metrics and reports required. Must hold a valid driver's license.
PHYSICAL DEMANDS

While performing the duties of this job, the employee will be required to move about the facility. The employee must sit; use hands to finger, handle, or feel/hold objects; reach with hands and arms; climb or balance; speak, hear, taste, and smell. The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required include close vision, color vision, depth perception, and the ability to adjust focus. The employee must effectively work in a normal production environment where temperatures and noise levels may vary. Generally, the incumbent must be able to sit and use a computer for extended periods of time.

WORK ENVIRONMENT

The work environment is a normal office environment. Noise levels are usually quiet.

NORMAL WORK SCHEDULE

The hours and days of work are established as needed by operations and at the discretion of management and may be changed (increased or decreased) by management as required.
