Job summary

Auberge du Soleil in Napa Valley seeks a Sales & Events Coordinator to support Group Sales and Private Events. You will handle Delphi-driven bookings, assist with catering operations, and coordinate with event managers to ensure flawless execution.

Ideal candidates are detail-oriented, organized, and possess strong verbal and written communication skills, with hospitality or event coordination experience. This full‑time role requires flexibility for early mornings, evenings, and weekends.

Qualifications

Detail-oriented with excellent organizational skills.
Experience in hospitality, catering, events or as an administrative assistant.
Proficient in Google Suite, Word, Excel, and event software Delphi, SMS, Way.
Flexible schedule including early mornings, late evenings, and weekends as needed.
Positive, team-oriented mindset and ability to handle multiple tasks.

Responsibilities

Data entry of all group, social and wedding inquiries into Delphi.
Generate weekly Delphi reports for sales and catering pace and forecasting.
Manage third-party RFP platforms (CVENT, HopSkip, The Knot) for updates and reports.
Coordinate VIP and site arrival amenities with group sales and event managers.
Review and audit contracts to confirm highlights, concessions, timing, and space conflicts.
Maintain Delphi Administrator duties: bookings, menu updates, space availability.
Assist with Event Order creation, contract turnover and deposits.
Communicate event details to internal teams for smooth execution.
Prepare and distribute BEOs and Group Resumes for weekly meetings.
