The LPN Supervisor serves as the clinical lead for our Urology and Oncology departments at the Novellis Health office. The role oversees day-to-day clinical operations, supervises the clinical support team, and makes sure every patient-related clinical and administrative task is completed accurately and on time.

The LPN Supervisor works directly with our physicians, techs and Medical Assistants, assisting with in-office urology procedures, including SpaceOAR hydrogel placement, and keeping each procedure day prepared, staffed and running on schedule. They combine hands‑on nursing care with the care‑coordination, follow‑through and staff‑training responsibilities of our Clinical Care Navigator role.

Key responsibilities
Clinical leadership and supervision
  • Serve as the clinical lead for the Urology and Oncology departments, acting as the main point of contact between the physicians, techs, Medical Assistants and the Practice Manager.
  • Supervise Medical Assistants, techs and Clinical Care Navigators; set daily assignments, room and procedure coverage, and break and PTO coverage so clinics run fully staffed.
  • Lead daily clinical huddles to review the schedule, procedure cases, outstanding tasks and patients who need follow‑up.
  • Monitor staff performance, complete skills check‑offs and annual competencies, and give input on performance reviews, coaching and corrective action.
  • Serve as the first point of escalation for clinical questions, patient concerns and workflow issues, and resolve or elevate to the physician or Practice Manager as appropriate.
  • Develop, update and enforce clinical policies, protocols and standing workflows for both departments.
Procedure assistance
  • Assist physicians with in-office urology procedures, including SpaceOAR hydrogel spacer placement, fiducial marker placement, prostate biopsy, cystoscopy, catheter changes and bladder instillations.
  • Complete pre-procedure checklists: confirm signed consent, medication and anticoagulant holds, allergies, bowel prep, pre-procedure antibiotics and required labs.
  • Set up procedure rooms, sterile fields, ultrasound and other equipment; position and prepare patients; and hand off instruments and supplies during the procedure.
  • Monitor patients before, during and after procedures, record vitals and procedure notes, and report any change in condition to the physician right away.
  • Give post‑procedure instructions to patients and families, complete post‑procedure follow‑up calls, and coordinate SpaceOAR timing with simulation and radiation treatment start dates.
  • Maintain procedure supply inventory (including SpaceOAR kits, biopsy and fiducial supplies), track lot numbers and expiration dates, and check that equipment is cleaned, sterilized and in working order.
Care coordination oversight
  • Monitor open patient tasks across both departments (orders, referrals, prior authorizations, results, records requests, callbacks and refills) and confirm each is completed on time by the responsible team member.
  • Identify gaps in care, such as missed follow‑ups, pending results, unscheduled imaging, procedures or treatments, and expired authorizations, and escalated to the appropriate provider or staff member.
  • Make sure required labs, imaging, pathology, authorizations and outside records are in the chart before each visit, procedure or treatment.
  • Oversee scheduling of procedures, simulations and treatments, and coordinate with the front desk, referring physicians, hospitals, imaging centers and labs.
  • Support Clinical Care Navigators with complex or newly diagnosed patients moving from referral and consultation through procedure, treatment and follow‑up.
Clinical patient care
  • Record vitals and update medication lists, allergies and pain scores before provider visits.
  • Administer subcutaneous and intramuscular injections as ordered, including hormone therapies such as leuprolide, and oversee tracking of patients due for their next dose.
  • Perform bladder scans (post‑void residual), venipuncture and specimen collection, and make sure specimens are labeled, processed and sent out correctly.
  • Handle clinical patient calls and messages, triaging and routing them according to physician-approved protocols.
  • Educate patients and families on procedures, medications, side effects and treatment plans, and support them with compassion through diagnosis, treatment and follow‑up.
Documentation, quality and compliance
  • Document accurately and on time in Aria (Oncology) and DrChrono (Urology), and audit staff charting for completeness and accuracy.
  • Make sure the clinic meets OSHA, HIPAA, infection‑control and safe hazardous‑drug handling standards, and flag issues to management.
  • Maintain emergency equipment and supply checks, medication and refrigerator temperature logs, and sterilization and cleaning logs.
  • Track and report incidents, near misses and patient complaints, and help put corrective actions in place.
Staff training and onboarding
  • Train and orient new Medical Assistants, techs, and front‑desk staff on Aria and DrChrono, clinical workflows and department protocols.
  • Train Medical Assistants and techs on procedure room setup, sterile technique, specimen handling, injections and post‑procedure care.
  • Serve as the go‑to resource for staff questions on clinical care, EMR use and workflows, and help troubleshoot day‑to‑day issues.
Qualifications
  • Current NYS LPN license and BLS certification.
  • 3-5 years of LPN experience in a specialty practice, including at least 1 year in a lead or supervisory role.
  • Experience assisting with in-office procedures, injections and venipuncture.
  • Strong EMR and Microsoft Office skills.
  • Urology or oncology experience, including SpaceOAR or prostate biopsy, preferred.
  • Hands‑on experience with Aria and/or DrChrono, preferred.
  • Proven leadership: sets clear expectations, holds the team accountable and leads by example on the clinic floor.
  • Strong follow‑through: tracks open items to completion and escalates early when something is at risk of falling through.
  • Clear, compassionate communication with patients, families, providers, staff and outside offices.
  • Strong organization, time management and ability to prioritize in a fast‑paced, multi‑physician clinic with daily procedures.
  • Attention to detail in sterile technique, documentation, specimen labeling, medication administration and patient privacy.
  • Ability to stay calm, professional and effective in high‑stress situations and to make sound clinical judgments.
  • Ability to work independently and to lead, coach and collaborate with peers as part of a team.
