About the Role

The Logistics Solutions Assistant provides operational and administrative support to highway and intermodal service teams. This role plays a key part in ensuring freight moves efficiently by assisting with documentation, invoicing, shipment tracking, and issue resolution.

This position is ideal for someone who is detail-oriented, service-focused, and eager to grow their understanding of logistics operations.

What you'll do:

Operations & Shipment Support

• Support highway and intermodal teams in the daily execution of freight movement.
• Assist with tracing shipments, confirming deliveries and empty containers, and monitoring timely movement.
• Contact rail providers, drayage partners, and service vendors to resolve delays or open cases when needed.
• Provide shipment status updates to customers as requested.

Billing, Documentation & Invoicing Support

• Obtain required documentation from customers, vendors, and service providers.
• Review invoices for accuracy, completeness, required attachments, and fuel surcharge accuracy.
• Maintain invoice hold reports to support timely customer invoicing.
• Track invoicing aging and elevate overdue invoices per established guidelines.
• Assist with investigation and resolution of payment exception report forms (PERFs).

Data & Administrative Support

• Enter load data accurately and timely into Matson systems.
• Maintain organized files and records related to loads, invoices, and documentation.
• Assist with rail billing, accessorial entry, and pool management activities as needed.
• Guarantee lift and storage charges and ensure accurate entry on customer orders.

Customer & Office Support

• Provide reception and phone coverage during scheduled portions of the workday.
• Greet visitors and direct calls to appropriate team members.
• Support customer service teams by responding professionally to inquiries and requests.

Professionalism, Safety & Team Support

• Collaborate effectively with internal teams, vendors, and customers to achieve shared goals.
• Comply with all company policies, procedures, and safety regulations.
• Perform additional duties as assigned to support customer needs and business objectives.

You have these qualifications:

• High school diploma or GED required.
• Four-year college degree preferred.
• Strong communication and customer service skills.
• Ability to manage multiple tasks and maintain accuracy in a fast-paced environment.
• Proficiency with MS Office and ability to enter and manage transaction data accurately.

Extra credit if you have:

• One or more years of related logistics, transportation, or administrative experience preferred.
• Willingness to learn intermodal transportation processes and systems.
• Familiarity with AI tools and technologies, including the ability to effectively leverage and evaluate them to improve productivity, efficiency, and overall business results.

The annual salary range is posted for this position in California. The salary offered will depend upon qualifications and other operational considerations.
