Job summary

Qualifications

  • Bachelor's or Associate degree in Business, Supply Chain, Logistics, or related field preferred.
  • Minimum of four years’ experience in logistics, transportation, or supply chain operations.
  • Experience coordinating shipments with carriers, freight forwarders, and customers.
  • Excellent written and verbal communication and data accuracy.

Responsibilities

  • Coordinate domestic and international shipments with approved providers.
  • Create, review, and maintain shipping documents (BOLs, invoices, packing lists).
  • Monitor shipment status and provide proactive updates to stakeholders.
  • Maintain accurate shipment tracking in company systems.
  • Communicate with carriers, suppliers, and customers about shipment activity.
  • Support transportation scheduling and carrier appointments at sites.
  • Assist with proof of delivery collection and document retention.
  • Support continuous improvement projects in logistics.

Thermal Works LLC has an exciting opportunity for a Logistics Coordinator to join our team, to support the day-to-day coordination of transportation, shipment documentation, and delivery tracking across ThermalWorks' domestic and international operations. The Logistics Coordinator serves as a key resource within the logistics function, supporting shipment visibility, carrier communication, document management, and reporting activities. This role is responsible for coordinating transportation, maintaining shipment documentation, tracking deliveries, and ensuring accurate logistics records across manufacturing partner locations in the United States, Europe, and Asia, and customer destinations across North America, Europe, and other international markets. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced remote environment. Key Responsibilities
  • Coordinate domestic and international shipments through approved transportation providers, including standard freight, heavy haul, and specialized equipment transportation.
  • Create, review, and maintain shipping documentation, including bills of lading, commercial invoices, packing lists, certificates of origin, and related logistics records.
  • Monitor shipment status and provide proactive updates to internal stakeholders regarding delays, exceptions, and delivery confirmations.
  • Maintain accurate shipment tracking information and logistics records in company systems.
  • Communicate with carriers, freight forwarders, customs brokers, suppliers, and internal stakeholders regarding shipment activity.
  • Assist with transportation scheduling and carrier appointment coordination at manufacturing partner sites and customer delivery locations.
  • Support proof of delivery collection and document retention requirements.
  • Maintain organized electronic shipment records and documentation in accordance with company procedures and retention requirements.
  • Assist with special logistics projects and continuous improvement initiatives as assigned.
  • Perform other duties as assigned in support of Operations and Supply Chain activities.
Education and Experience Required Qualifications
  • Bachelor's or Associate degree in Business, Supply Chain, Logistics, or a related field preferred, or an equivalent combination of education and relevant work experience.
  • Minimum of four years of experience in logistics, transportation, shipping, supply chain, customer service, or related operational support functions.
  • Working knowledge of domestic and international transportation processes, shipping documentation, and logistics coordination activities.
  • Demonstrated experience coordinating shipments and communicating with carriers, suppliers, customers, freight forwarders, customs brokers, or transportation providers.
  • Strong organizational, time management, and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office applications, particularly Excel and Outlook.
  • Ability to work independently and effectively in a remote work environment.
  • Strong attention to detail and commitment to data accuracy.
Preferred Qualifications
  • Direct experience coordinating shipments of industrial equipment, HVAC equipment, data center cooling equipment, or comparable specialized freight.
  • Direct experience with international logistics, including customs documentation, tariff considerations, and cross-border shipping requirements.
  • Experience coordinating logistics for contract manufacturing operations across multiple geographies.
  • Working knowledge of transportation management systems, enterprise resource planning platforms, or comparable logistics tracking software.

Working Conditions

Remote position, with core working hours overlapping the Operations team's schedule and flexibility required to accommodate coordination with counterparts in multiple time zones.

Standard business hours, with occasional after-hours availability required during time-sensitive shipment events or delivery situations.
