Job description

The Supply Chain Operations Coordinator is responsible for providing administrative, inventory, and logistics support for the distribution center. This role ensures accuracy in inventory control, supports customer service and shipping activities (domestic and international), manages various administrative functions, and coordinates property and supply needs. The position serves as a key link between operations, customer service, HR, and logistics to ensure smooth, efficient, and compliant warehouse and distribution activities.

CORE FUNCTIONS

Inventory Control & Logistics

Investigate scrap, discrepancies, and obsolescence; report and assist with troubleshooting.

  • Perform and document cycle counts, stock audits, and year-end physical inventories (raw materials, WIP, finished goods, and storage locations).
  • Communicate shortages and adjustments to scheduling and purchasing to avoid delays or backorders.
  • Maintain organized records of inventory findings, discrepancies, and resolutions.
  • Prepare customs paperwork, BOLs, booking shipments, and ensure compliance with OEM, EDI, ASN, and other customer requirements.
  • Support daily shipping activities for domestic and international shipments, stepping in to perform shipping duties when needed.
  • Operate warehouse equipment per safety guidelines (with certification) when needed.
Operations & Quality Support
  • Conduct pallet counts for OEM/Amazon, GP, Manhattan
  • Booking OEM/Amazon shipments through vendor portals
  • Auditing shipments – OEM/Amazon, GP, Manhattan
  • Carrier follow up on missed shipments
  • Communicate with facility leadership to ensure timely completion and quality standards of OEM/Amazon shipments
  • Research and correct quality defects
  • Ensure Outbound virtual locations are updated and accurate, resolve issues by collaborating with Inventory Control team
Administrative & Customer Service Support
  • Serve as first point of contact for incoming calls, truck drivers, service technicians, visitors, and general inquiries.
  • Schedule meetings, act as reception, and provide administrative support for warehouse leadership.
  • Work within ERP and WMS systems to:
    • Update shipping addresses.
    • Upgrade shipping methods.
    • Coordinate resolution of failed orders.
    • Track inquiries and verify stock availability.
  • Process paperwork including BOLs, packing slips, and related documents.
  • Record and distribute notes for safety meetings.
  • May support HR in onboarding and orientation at some sites.
Facilities & Supply Management
  • May oversee DC services including scheduling maintenance and ordering PPEs and janitorial supplies.
  • Manage inventory of office supplies, reordering as needed.
  • Maintain a safe, clean work environment; immediately address unsafe conditions or behaviors.
Financial & Recordkeeping
  • Submit receipts and invoices for recordkeeping purposes.
  • Ensure filing and recordkeeping systems are accurate, organized, and accessible.
QUALIFICATIONS & REQUIREMENTS
Education and Experience
  • High School diploma or equivalent required.
  • 1–2 years of related warehouse, logistics, or inventory experience required.
  • Previous experience with ERP/WMS systems preferred (Manhattan ERP experience an asset).
  • Powered industrial truck (PIT) operation experience preferred.
Required Licenses
  • PIT certification is preferred; company certified upon hire.

  • This position is an Individual Contributor: working team member with no oversight of others and no management responsibilities.
PHYSICAL REQUIREMENTS
  • Work level ranges from light work (exerting up to 20 lbs occasionally) to heavy work (up to 100 lbs team lift occasionally, 50 lbs frequently, 20 lbs constantly) depending on task requirements.
