AnnieMac Home Mortgage is looking to hire a team support role to help manage the calendar, schedule appointments for the Team Leader, and ensure timely follow-up with leads by phone within one hour of contact.

The position also involves updating the CRM with lead activity, maintaining referral sources, printing and organizing loan documents, and monthly database updates for closed loans. Strong organization and communication skills are essential.

Responsibilities

• Manage the Calendar: set all appointments for Team Leader.
• Lead Tracker: call leads back within 1 hour to set appointments with a licensed Mortgage Loan Originator.
• Update the referral source every time you attempt/make contact with a lead.
• Print credit and prepare the appointment materials in advance.
• Data base management: update the database on the 1st of each month with closed loans from the previous month.

Responsibilities

• Manage the Calendar:
• Set all appointment for Team Leader.
• Confirm all appointments the day before and if you leave a message call the day of as well.
• Have at least two call back times scheduled in team leaders day and change voicemail to reflect those times.
• Lead Tracker:
• Call leads back within 1 hour to set appointments to speak with a licensed Mortgage Loan Originator.
• All leads added to lead tracker.
• Update the referral source every time you attempt/make contact with a lead.
• Bring two copies of lead tracker to each team meeting.
• Give borrower a verbal list of what to bring and directions and make them write it down.
• Email confirmation of appointment (list of what to bring, directions, testimonial) to agent, borrow, and team leader. (put, from (team leader name) in the re: section of the e-mail.
• Print credit and put it in the appointment folder; have it ready for the appointment.
• Data base management:
• Update our database on the 1st of each month with closed loans from the previous month.
• E-mail program of the week to realtor data base every Friday.
• 30-60-90 day calls for all closed loans.
• ABC calls weekly.
• Birthday Program using CRM tool.
• Keep Team Leader on track with calls and schedule.
