Job summary

Morgan & Morgan in Phoenix, AZ is seeking an on-site Administrative Assistant to support a lead attorney and litigation paralegal. You will handle scheduling, filing, document management, and client communication to help our trial teams stay organized and efficient.

Ideal candidates have a high school diploma, paralegal education or certificate preferred, and at least 2 years in legal admin. Strong multitasking and written/spoken communication are essential, with a proactive approach to workflow

Qualifications

  • High school diploma or GED.
  • Associate’s Degree in Paralegal Studies, Bachelor’s Degree, or a Paralegal Certificate (preferred).
  • Experience in Personal Injury, Workers Compensation, Premises, First Party or other injury related practice areas (preferred).
  • At least 2 years of experience as an Administrative Assistant preferably in a law firm setting or in a corporate legal department.
  • Highly organized with the ability to multitask, prioritize, handle a fast-paced environment, and manage workload with a great attitude and minimal supervision.
  • Strong written and verbal communication skills, including good presentation skills.
  • This role is on-site, which gives you the chance to be fully immersed in the work and gain direct experience alongside the team.

Responsibilities

  • Perform administrative duties, such as scheduling calendar hearings and deadlines, organizing case files, and managing logistics.
  • Maintain pleadings and discovery indexes
  • Organize exhibits, documents, evidence, briefs, and appendices
  • Implement and improve upon administrative processes for more efficient workflow
  • Collect, examine, and organize evidence and other legal documents for attorney review and case preparation
  • Draft and proofread correspondence and legal documents, such as pleadings and contracts
  • Research regulations, laws, and legal articles to assist with the preparation of reports, case files, and legal advice
  • Manage client billing by preparing, finalizing, and sending out bills, as well as resolving billing issues in cooperation with the billing attorney
  • Communicate with clients and witnesses to schedule meetings, interviews, and depositions
  • Manage, organize, and maintain documents in paper or electronic filing systems
  • Provide general administrative assistance, such as maintaining the attorney’s calendar and making travel arrangements
  • Performs other related duties as assigned to meet the needs of the business

Summary
